Job Summary:The Director of Alumni Relations works with the entire Advancement Division to implement dynamic and successful alumni relations initiatives in support of Columbia College's mission and fundraising goals. The Director is responsible for creating and maintaining positive relationships with Columbia College Alumni nationwide and encouraging philanthropy. This role is responsible for alumni engagement and consistent support of the Annual Fund, a priority mission of the college. The revitalization of alumni around the country is a primary focus of this position. The Director is charged with motivating alumni to be engaged and involved, as well as successfully facilitating fundraising programs and activities for annual giving in collaboration with the Office of Development. This position will serve as the liaison between the college and both the Columbia College Alumni Association Advisory Council and CC Friends of the 70's Advisory Committee. The Director collaborates with the Strategic Communications Team in the Advancement Division on the production of the monthly alumni newsletters and the bi-annual Christian College Connections newsletter. The position will also collaborate with Student Affairs and Athletics on parent newsletters to connect them to the Alumni Association and solicit for gifts. From an operations management standpoint, this position will be responsible for coordinating meetings and retreats, as well as overseeing special projects.
Essential Functions:Perform job duties in accordance with Columbia College's vision, mission and values.Contribute to the goals and objectives of the Advancement Division, maintain an awareness and understanding of the big picture and remain high level.Establish and maintain a collegial, creative and productive work environment.Strive to create and maintain a culture of Advancement.Foster relationships among various constituencies to increase volunteer participation and financial support.Collaborate on targeted appeals for the Annual Fund, co-lead the Annual Giving Day event with partners across the division and the college, specifically Athletics.Oversee the CCAA Scholars selection, award and promotion process. Create an annual report regarding the Alumni Relations Department.Oversee the annual CCAA Alumni Awards process.Maintain standard operating procedure document for Alumni Relations Department, to be updated annuallyCreate and submit monthly executive reports with data regarding Alumni Relations and Alumni Giving.Keep abreast of current best practices in the Advancement profession and trends in higher education, alumni engagement, annual giving, and evaluate new and emerging ideas for potential best practice implementation at CC.Carry out and implement proposed updates to the Alumni Association structure to maximize affinity and revenue.Provide completed staff work with a high level of attention to detail and completion.Serve as primary point person for agenda creation and scheduling meetings with the Advisory Councils.Display extraordinary tact.Satisfy the alumni/donor/prospect while maintaining the integrity of the college and operating in a cost-effective and sustainable way.Strive for 100% giving participation from the CCAA Advisory Council through direct fundraising asks and preparation and distribution of annual Lifetime Support Overview reports.Organize and carry out new employee onboarding for Advancement Division in collaboration with appropriate team members and supervisor.Execute surveys to secure affinity markers and gauge ROI of events.Assist with Board of Trustees Adv. Committee meeting logistics, agendas, Powerpoints, Minutes and Resource gathering, as requested.Follow established division wide standard operating procedures, specifically as they relate to proofing standards prior to distribution.As an outward-facing professional representative of Columbia College, practice exemplary customer service in all manners of communication - by telephone, written and in person..Maximize Homecoming activities for alumni.Facilitate commencement-related activities on behalf of the CCAA for all graduates and their familiesUnderstand database management, donor relations and gift processing.Ability and willingness to work some weekends and evenings required.Must have the ability and interest to gain a thorough knowledge of College Advancement.Excellent organizational skills in coordinating multifaceted programs and events.Excellent attention to detail.Serve as a host and emcee for Alumni Relations associated events.Comfort in working with diverse internal and external stakeholders, while maintaining a moderate stance with an eye on what is best for the college.Ability to work independently as well as in a team.Willingness to ask for financial contributions and cold call alumni.Ability to create and deliver compelling presentations.Ability to work with highly confidential information.Ability to provide direction and motivation to others through communication, modeling appropriate behavior, optimism and high achievement.Exhibit leadership courage while also remaining respectful of protocol, policies and procedures.Onsite presence and consistent hours are important for this position in order to be available to alumni visitors.Submit timely and accurate expense reports for approval, and likewise, approve expense reports from your direct reports in a timely manner.Enter timely and accurate Time Clock Plus entries for yourself, and likewise, approve TCP entries for your direct reports.Travel in this position will be limited, however, follow company guidelines when you do travel.Maintain a collegial, creative and productive work environment within the Advancement Division.Communicate effectively with department, division and institution personnel.Work in partnership with the Vice President to establish and then adhere to an annual budget relating to your assigned units.Projection of a positive attitude, especially regarding college initiatives is critical at all times.Ability to work professionally with friends of the college from every walk of life and belief system while always keeping in mind what is best for Columbia College is essential.Required Skills, Core Competencies and Professional Experience:
