Job Title: Administrative AssistantJob Description
This administrative assistant role is a jack-of-all-trades position, primarily clerical in nature but also includes responsibilities in trucking dispatch, accounts payable/accounts receivable, order management, follow-up for invoice payments, and customer greetings. The candidate will serve as the face of the branch.
Responsibilities
+ Provide exceptional customer support by managing phone and walk-in inquiries, purchase orders, and order changes.
+ Ensure accuracy in daily shipments during dispatch and confirmation processes, including checking orders for special freight charges, customer requests, order changes, and tax exemptions.
+ Support the Plant Manager by checking customer credit and managing Accounts Receivables for all orders within 90-days on a weekly basis. Submit invoices for Accounts Payable.
+ Prepare bills of lading, correlate bills with packing lists, and check for duplications or shortages of quantities shipped against the original order. Notify customers of impending shipments and distribute information.
+ Perform general administrative tasks such as typing, preparing purchase orders, maintaining files and office supplies, processing mail, coordinating travel, and handling special projects as assigned.
Essential Skills
+ High school diploma or GED.
+ Good organizational, math, and filing skills.
+ Experience in a manufacturing environment is preferred.
+ Excellent verbal and written communication skills.
+ Proficiency in Microsoft Office Suite; advanced Excel experience preferred.
+ Computer savvy.
+ Strong customer service skills, including phone interaction with truckers.
+ Attendance and punctuality.
Additional Skills & Qualifications
+ Open to candidates with varying levels of experience, including new graduates.
+ Detail-oriented.
Work Environment
The role is based in a small office with only one other person present. The candidate will report to the Plant Manager and receive training from the current employee in the role for 1-2 weeks. The office atmosphere is collaborative and supportive, providing an opportunity to learn and grow in a dynamic environment. Candidates should ideally live within a 30-minute commute.
