Position Summary:

Norfolk Southern is seeking a highly skilled, organized, and proactive Executive Assistant to provide essential support to the Chief Financial Officer (CFO). The ideal candidate will possess exceptional organizational skills, the ability to handle confidential information, and a strategic mindset to support the CFO in both daily operations and high-level initiatives.

Key Responsibilities:

Calendar Management: Expertly manage the CFO’s calendar, scheduling meetings, appointments, and travel arrangements. Efficiently prioritize and resolve scheduling conflicts.

Communication: Serve as the primary point of contact between the CFO and internal/external stakeholders. Draft, review, and manage correspondence, including emails, reports, and presentations.

Meeting Preparation: Organize and prepare for meetings, including gathering necessary materials, setting agendas, taking minutes, and following up on action items.

Travel Arrangements: Coordinate detailed travel plans, itineraries, and logistics for both domestic and international travel.

Document Management: Maintain and organize electronic and physical files. Ensure the CFO has all necessary documents for meetings and engagements.

Expense Reporting: Prepare and process expense reports in a timely and accurate manner.

Office Management: Handle office logistics, such as ordering supplies, managing vendor relationships, and overseeing maintenance of office equipment.

Internal Communication: Facilitate effective communication within the executive leadership team. Ensure alignment and clarity on priorities and deliverables.

Event Planning: Plan and coordinate executive events, offsites, and meetings with key stakeholders.

Qualifications:

Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.

Experience: Minimum of 5 years of administrative support experience, or in a similar role, preferably supporting senior-level executives. Experience with project management is a plus.

Skills:

Exceptional organizational and time-management skills.

Strong written and verbal communication abilities.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Ability to handle sensitive information with discretion.

Strong interpersonal skills and the ability to build relationships at all levels of the organization.

Proactive problem-solving skills and the ability to work independently.
