The incumbent will utilize HR -related electronic systems, such as Taleo, Banner, and Tu Portal, to perform daily responsibilities. The incumbent must maintain up-to-date knowledge of general university policies as well as HR-specific processes and procedures. Responsibilities include: coordinating the front office reception operations and services; answering and directing incoming telephone calls from internal and external constituents, responding to general inquiries or referring calls to the appropriate personnel; working with the University's electronic applicant tracking system to confirm the application status for student, adjunct and administrative positions; providing phone and in-person support to new hires related to onboarding procedures; processing employment forms and ensuring that documents conform to USCIS regulations; processing identification cards for employees and faculty members; creating and maintaining database and spreadsheet files to track information, as requested; and ensuring that correspondence is mailed out either via USPS or sent to the appropriate departments/campuses via inter-office mail. Also, the Administrative Specialist will assist with the HR web posting of administration positions, as needed. Performs other duties as assigned.Required Education & Experience:At least three years of directly related administrative support experience, preferably in an HR Office Setting.
