Essential Job DutiesWork on multiple meetings/projects simultaneouslyProvide timely, outstanding customer service for internal and external clientsRespond in a timely manner to customer inquiriesFollow established project management procedure for assigned projects/meetings, which includes following meeting production timelines (work plans) and participating in planning meetings with meeting planners, clients, and partnersProvide logistical support for meetings including reviewing and updating event specs to include detailed set-up requirements. Provide onsite support for in-person and virtual meetings for logistical or registration rolesTrack finances of projects within the budget for revenue and expensesProcess contracts and payments for vendorsAssist with creating request for proposals (RFPs) for vendors in several areas including: general services contractors, audiovisual, catering, mobile apps, printers, shipping, and other vendors as requiredAssist registration staff in creating and managing registration websites, forms, and registrant detailsReview meeting marketing and client-created meeting materials including correspondence, program book, mobile app, and website pagesAssist with creating post-event and historical meeting reports to include details regarding registration, financials, attendee surveys, etc.Review and update standard operating procedures (SOPs) for department as neededPerform other duties as assigned by managementEducation/Experience/Technological KnowledgeCollege degree or equivalent meeting industry experience; may have an advanced degree or equivalent experience3 years of demonstrated administrative support experienceAbility to work nights and weekends for successful execution of eventsAbility to move about to accomplish tasks for many hours a day during eventsDemonstrated program and project management experience requiredAbility to prioritize and manage multiple projects, and meet deadlinesStrong writing and verbal communications skills for interacting with stakeholdersOrganizational and analytical skills with an attention to detail are highly desirableOutstanding interpersonal skills with focus on collaboration and consensus building between teams and a team playerTravel up to 10% of the yearThis role is based in our Washington, D.C. office. The ACS COO Division employees work a hybrid schedule, consisting of working onsite two days (Tue/Wed) per work week, as decided by functional area. The balance of the week is open to working remotely, though employees are always welcome onsite each day if they choose. A reasonable rate of compensation for this position is between $52,000-71,000 per year.ACS currently provides the following benefits for this position: paid vacation leave, paid sick leave, paid holidays, health insurance, flexible spending account or health care savings account, dental insurance, life insurance, vision insurance, retirement benefits, short- and long-term disability, and 4-week work from anywhere; each benefit is subject to the terms of the applicable program.
