Job Summary:The Senior Payroll Specialist plays a critical role in the accurate and timely processing of payroll for all company employees, ensuring compliance with federal, state, and local regulations. This role requires a high level of accuracy, attention to detail, and a deep understanding of payroll best practices. As a logistics company, our payroll includes a variety of employee classifications and involves multiple states and unique operational requirements, making this position vital to our business continuity and employee satisfaction.
About Us:Naniq is a third-party logistics company dedicated to providing the most innovative solutions for the Multinational Logistics Corporations (MLCs) we serve. We enable the MLC to deepen customer relationships by applying our expertise across many verticals (ocean, air, road, final mile, etc.). Through our vast network of contacts and partners, we offer a buffet of complex services that most MLCs are unable to easily offer on their own. Acting as the MLC, Naniq is able to capture incremental profit and deepen relationships with shippers – all to the benefit of the partnered MLC.

Duties and Responsibilities:
Payroll Processing: Process bi-weekly, semi-monthly, or monthly payrolls, ensuring all employees are compensated accurately and on time.
Compliance and Reporting: Ensure payroll practices comply with all federal, state, and local laws, and manage year-end tax filing processes, including W-2s and other required filings.
Data Integrity: Review payroll data for accuracy and integrity, including hours worked, overtime, bonuses, deductions, and benefit contributions.
Audit Support: Assist with internal and external audits by preparing payroll data, reports, and documentation.
Employee Support: Respond to payroll-related inquiries from employees, including issues with deductions, overtime, and payroll processing timelines.
System Maintenance: Manage updates in the payroll system (ADP) related to employee information, tax changes, and new hire setups.
Payroll Documentation: Maintain records of payroll transactions and ensure confidentiality and security of all employee information.
Process Improvement: Identify opportunities to streamline payroll processes, increase accuracy, and reduce processing time.
Qualifications:
Minimum of 5 years of experience in payroll processing, preferably within the logistics or transportation industry.
Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
CPP (Certified Payroll Professional) certification is highly desirable.
Strong understanding of wage and hour laws, payroll tax compliance, and reporting requirements.
Excellent attention to detail, communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Familiarity with the unique payroll needs of logistics, including multi-state tax laws and varying labor regulations.
Experience with employee classifications that involve non-union employees.
Proven track record of process improvements in payroll management.
Physical Requirements:Frequent sitting for prolonged periods of time, using hands/fingers requiring dexterity and coordination to handle files and single pieces of paper, reaching with hands and arms for items above and below desk level, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception, and the ability to adjust focus); occasional lifting of up to 25 pounds such as small office equipment, files, stacks of paper, reference and other materials.
