Position Overview

The Network Relations Administrator is crucial in supporting the effectiveness of the Network Relations team and local offices by coordinating a variety of projects that equip Relationship Manager (RM) teams to provide an exceptional giver experience. In conjunction with the Network Relations team, this role ensures smooth operations across the network by assisting in the execution of training, development, and onboarding processes, and supporting the team in network resourcing efforts. The Administrator also contributes to event coordination, logistical support, and operational excellence, fostering collaboration within the network.

Key responsibilities include managing learning systems, course development, dashboards, and remedial training sessions. The Administrator handles administrative tasks such as calendaring, file management, and departmental expenses, while also contributing to strategic initiatives through surveys, communications, and supporting regional and national events. This role supports the overall health and effectiveness of RM teams, enabling them to better serve givers and mobilize resources efficiently.

In collaboration with the Network Relations team, the Administrator aids in onboarding and orientation experiences, assists in hosting local and national office visitors, coordinates leadership events, and oversees team retreats and RM roundtables. Additionally, they support growth efforts in new markets and manage technical aspects of onboarding, office moves, and changes in affiliation or branding. This position plays a vital role in ensuring that the Network Relations team and local offices function at their highest potential, driving both operational success and organizational growth.

This position is based out of NCF's office in Alpharetta, GA and allows for a blend of in-office collaboration and hybrid work.

Duties and Responsibilities

Various Events and Orientation Support - National office (Alpharetta, GA) Coordinates local and national employee orientation in collaboration with the Marketing team. Plans and manages events for Network Relations, including local boards, RM team visits, leadership events, and RM roundtables. Oversees all event logistics such as scheduling, facilities reservations, travel arrangements, hotel accommodations, meals, seating, and name tags. Serves as concierge for RM teams during onsite events, ensuring all needs are met. Handles communications with attendees and presenters, including calendar invites, travel recommendations, and event details. Participates in core planning teams to define event schedules, agendas, and resources. Manages candidate interviews and visits, including scheduling, travel arrangements, and agendas. Organizes and manages NLT meetings, team retreats, and other Network Relations gatherings. Training Support

Oversees the administration and support of the learning management system: Onboarding/offboarding accounts, uploading recordings, attendance management, and maintenance/clean-up. Administration for course development. Tracks dashboard metrics for training and development dashboard. Updates onboarding and training dashboard. Assists with local office remedial trainings. Manages calendaring for trainings (new hire training and continued training opportunities). Ongoing Management, Administration and Support of Network Relations Team and Resources

Maintains and updates all contact lists (Master Network, RM referrals, Belay contractors) via file sharing on the Loop, and manage the Network Relations team calendar by populating key event dates (retreats, RM roundtables, orientations). Update and organize Network Relations Loop and Shared file platform, acting as the department liaison with the communications team to designate file ownership, organize sub-folders, upload search keywords, archive files appropriately, and conduct an annual audit of all files. Processes departmental expenses using budgeting software, including submitting check requests/expense reports to accounting, coordinating W-9 activity with vendors, and updating invoice and expense records via the file sharing application. Manages calendar invites for Network Relations team functions/events, major holidays, and significant NCF events, while supporting weekly meetings by tracking follow-up items and capturing action items. Orders supplies for team members, events, and meetings at the national office, and oversee workstations to maintain an organized and up-to-date environment. Local board meeting updates/preparations - updates content helpful to Network Relations leadership to distribute/include in local board meetings. Various survey creation and summarization. Supports team slide deck creation efforts. Support and organization of Network Relations key projects and goals

Manages/Oversees administrative tasks for RM Team hiring and terminations, including onboarding and offboarding process via oversite to Jira. Sends welcome letter out to all network new hires. Maintains hire/termination spreadsheets. Coordinates nationally led office onboarding and offboarding activities with national HR team. Gives oversite via Jira with office moves, title/name changes, and signer updates. Provides floating director back-up (case management assistance) via direction from the Network Relations Administrator - DGS liaison. Performs calendaring and meeting minutes for the DGS/NSI team as needed. Manages calendaring for monthly Network Call prep and act as video conference administrator for calls. Interaction and Liaison with NCF Departments

Develops strong rapport with national departments to advocate for a customer-centric approach between national and local offices, fostering operational excellence. Maintains current mailing lists for local office staff and assist with special occasions like Love Gives, Christmas, or other needs. Supports cross-departmental requests, providing affiliate office lists, office and staff data, board member info, financials, and historical details as needed to legal, finance, etc. Liaise with Facilities on team workstations, supplies, mail handling, and visitor coordination, ensuring smooth operations. Coordinates with Accounting on expenses and assist with insurance questions by liaising between local offices, the broker, and legal. Serves as department contact for NCF events and community outreach projects. Experience and Skills Christ Centered

A bachelor's degree is required. Experience

A minimum of 3 - 5 years' experience in customer service/sales support, project management, marketing, and/or operational management and support preferred. Previous experience in a non-profit, charitable giving, or ministry environment preferred, especially in serving high net worth individuals, families, or advisors. Previous experience with engagement, channel, or outreach activities a plus, as is experience in a high touch, service-oriented industry a plus. Experience working with faith-based communities a plus. Knowledge Base

Proficient in Microsoft Office applications, CRM (i.e., Salesforce or other CRM cloud-based service), file sharing software, Marketing Cloud or similar systems. Proficient use in project management and work tracking tools that helps teams plan, assign, and manage work (Jira, Asana, Trello, Basecamp, monday.com, etc.). Proficient use in cloud-based video conferencing tools (i.e., Zoom and Microsoft teams). Proficient use in Learning Management Systems (i.e., Litmos). Proficient use with Design programs (Adobe creative, Canva, Prezi, etc.). Working knowledge of online learning creation tools (Articulate, Storyline, Rise etc.). Working knowledge of expense and AP processes, and general budgeting software (i.e., concur). Competencies

Additional hours may be required during peak work periods and projects, such as fourth quarter and other peak periods throughout the year. 10-20% travel may be required.
