JOB TITLE: Manufacturing Administrator, Bedding & PrintReports To: Manager, SE ManufacturingPrepared by: Valley Forge Fabrics 2024DEPARTMENT: ManufacturingSummary:The Manufacturing Administrator plays a crucial role in supporting the Manufacturing team by handling administrative tasks, coordinating activities, and ensuring smooth operations through the department. This role involves managing documentation, facilitating communication, logging and tracking orders through the process, upkeep of pertinent information such as yardage, delivery dates, freight costs, etc. and assisting with various administrative duties to enhance efficiency and effectiveness within the manufacturing environment.ESSENTIAL DUTIES AND RESPONSIBILITIES: Core duties and responsibilities include the following. Other duties may be assigned. Sign and return Fabricator order acknowledgments. Additionally attached OA to Purchase Orders in system.Ensure confirmed date for all Manufacturing Purchase Orders and Production orders are entered according to consolidation/ export schedule.Keep track and ensures that order acknowledgments are received with SLA and promptly communicates any delivery issues to internal teams. Enter and maintain data in manufacturing systems and databases, ensuring accuracy and completeness.Review Incoming/ outgoing transfer orders ensuring dates and special instructions are accurate.Arrange shipments of Princess packages to fabricators.Review Bedding and Print Lab Dip's, Strike off's, Fabric samples and Fit samples with Project Management, Quality and Sourcing. (Milestone for ensuring fabrication is on time)Maintain and archive manufacturing records, ensuring logs are kept up-to-date and stored securely.Prepares fits samples along with corresponding documents for QC to perform inspection.Collaborate with Customer Care team to arrange fit samples to customer for approval.Serve as a point of contact between the Manufacturing team and other departments, facilitating clear and effective communication.Support the planning and coordination of maintenance activities, equipment repairs, and other operational tasks.Prepare and distribute internal communications, including meeting agendas, minutes, and status reports.Provide general administrative support to the manufacturing team, including handling correspondence, scheduling meetings, and managing office supplies.Manage monthly fabric returns for excess fabric.Generate and publish master pick list for In-house orders.Process billing for 3PM Bedding and Sample Print orders and ensuring POD documents uploaded accordingly.Quarterly review inventory for 3PM and in-house bedding ensuring only goods in WIP are stored.Systematically end in-house bedding production orders ensuring working loss is captured. EDUCATION AND/OR EXPERIENCE: Bachelor's degree (B.A.) from four-year college or university; 5 years related experience and/or training; or equivalent combination of education and experience. Previous work experience in the Manufacturing is preferred. LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
