Job Summary Selected candidates will join a dynamic event facilitation team dedicated to ensuring our clients' visions come to fruition by understanding their needs and coordinating their use of university facilities, equipment, and catering/dining services. Team members regularly assist with events managed by camp and conference producers as well as community members, campus staff and faculty, and student organizations seeking to produce events in our spaces.
Primary Duties and Responsibilities Event Bookings: Serves on a team of event specialists who together act as the primary contact for new, returning, and prospective clients. Meets with campus and external clients to determine needs, explain facility capabilities, conduct inquiry tours, and schedule use of equipment, technology, and meeting spaces across multiple buildings and outdoor spaces on the Hattiesburg Campus. Maintain contact with clients and update reservation information as event details evolve. Event Logistics: Contact and coordinate with campus and external partners to communicate, schedule, and arrange lodging, dining, equipment, and facility needs for clients producing events, camps, and conferences.Helps develop, apply, and enforce all university, department, facility, and event policies and procedures, communicating them effectively to clients. Communicate client needs and event specifications to the Union operations team to ensure client satisfaction. On-site Liaison:Members of the event specialist team are present for group arrivals and departures as needed and serve as the client's on-site point of contact and problem solver for questions, concerns, and other needs (sometimes requiring irregular work hours, including nights, weekends, and holidays). Monitor and ensure accurate counts, guarantees, and setup details are submitted to campus departments accordingly. Follow-up with clients (in-person and via post-event surveys) to evaluate group satisfaction regarding their stay, needs, and services. Sales Assistance: Assists the Assistant Director with identifying, evaluating and recruiting prospective conference and camp programs. Initiates and negotiates full-service agreements. Sends confirmations and invoices and oversees billing. Maintain a database of event, camp, and conference clients and colleagues in the community and industry. Event Software: Manages the reservation software used to record event details, create to-scale room setup diagrams, and produce regular reports showing facility and equipment usage data and revenue. Utilizes online scheduling system to schedule student Event Assistants. Assists in the day-to-day operation of the Photo and Information Center (PIC), as required. Performs other duties as assigned.
Minimum Qualifications Bachelor's degree from an accredited college or university in a related field or one-year equivalent combination of education and experience in: college union, guest services, or facility management; supervision; interpersonal and public relations skills; building safety and security; conferences, camps, and event services operations; major event planning and logistics; technical services operations; event management software and room diagramming software.
Knowledge, Skills & Abilities Selected team members will exhibit high-quality skills in the following areas: customer service, teamwork, problem solving, creative thinking, oral and written communication, critical thinking, and leadership. Team members will be expected to engage in public speaking, balance multiple communication mediums (phone, email, text, face-to-face,) interpersonal interaction, event management, long-range planning, technical skills, financial management, and others.
Preferred Qualifications Master's degree from an accredited college or university and one-year related experience and/or training in: college union, guest services, or facility management; supervision; interpersonal and public relations skills; building safety and security; conferences, camps, and event services operations; major event planning and logistics; technical services operations; event management software and room diagramming software.
