Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.
Experience Qualifications: Three years secretarial/administrative or equivalent acceptable experience required. Bookkeeping, accounting or similar experience preferred.
Skills Qualifications: Ability to coordinate multiple tasks and priorities; excellent communication skills with sensitive public; excellent human relation skills; ability to maintain strict confidentiality of information; ability to prepare reports and draft professional business correspondence; demonstrated knowledge and skills with computer software, particularly Microsoft Office, Financial and HR tools such as Peoplesoft, and Student Information Systems (SIS); ability to detect and correct errors in standard English language usage; ability to analyze existing processes and identify areas for improvement; ability to follow specific verbal and written instructions; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.
Primary Responsibilities: Provide administrative support to the Executive Director of Data Governance and assist with functions and activities associated within the department.
1. Perform general administrative duties in support of the Office of Data Governance.a. Take notes and transcribe various communication, including but not limited to, letters, memos, reports, and minutes of meetings.b. Align administrative priorities with those of the Executive Director.c. Maintain an accurate schedule of activities for the Executive Director of Data Governance.d. Arrange, coordinate, and schedule time and details for travel and conferences for the Executive Director.e. Prepare various minutes, reports, work orders, memoranda, and purchase orders as needed to maintain the efficient and effective operation of the office.
2. Perform general clerical duties.a. Organize and efficiently maintain the files and records for the office.b. Operate various office machines including, but not limited to, copiers, computers, and scanners as needed to ensure the efficient and effective operation of the office.c. Organize and maintain division office reference materials efficiently.d. Handle routine matters while supervisor is out of the office and delegate matters appropriately.e. Receive and sort incoming mail for the Executive Director.
3. Provide support to the department by identifying, developing, and streamlining areas for process improvement and service delivery.a. Conduct appropriate research and collaborate with staff to design, develop, implement, and evaluate new initiatives.b. Assist in preparation and facilitation of meetings and events.
4. Monitor the department's financial/accounting duties to ensure payment is issued on time.a. Ensure that all claims for reimbursement are accurate and legitimate.b. Assist with departmental budgets and reports as requested.c. Process payment of contractors in a timely manner.d. Maintain accounting of all department budgets.
5. Communicate with all parties in a businesslike, courteous, and efficient manner.a. Represent the division professionally in all aspects of communication.b. Help cultivate a responsive and customer centered climate.c. Seek ways to be responsive to the needs of staff.d. Handle internal and external customers graciously and effectively.e. Direct inquires to the appropriate division personnel as needed.f. Route incoming and outgoing correspondence accurately.
6. Coordinate and arrange interviews and assist with on-boarding for new employees to the department.
7. Cooperate with and maintain a positive relationship with other departments, staff members, and organization members.
8. Assist with new projects as assigned.
9. Perform other duties as assigned.
Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to finger, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and ability to adjust focus.
