Job Title: Protocol Specialist
Department/Division: Naval Special Warfare Command

Reports to: Command Executive Office
Supervisor for: N/A
Primary Purpose: To provide protocol administrative support services to Naval Special Warfare Command.
Essential Functions
Assist with handling ORF contract finalization for all event venue utilization and catering services. Assisted with all Official Representation Fund (ORF) paperwork and maintained program records and inventory for WARCOM.Cash collection and inventory of gifts, personnel flags, and ORF mementos. Conduct monthly and annual audits of current Petty Cash funds. Ensure all transitions are reviewed, audited, and accounted for. Collect, monitor, and review all payments on the Protocol Venmo account.Assist with preparing SOE for KLEs and communicating with external and internal leaders.Ability to research email addresses and contact info for community leaders, principals, and other critical POCs.Assist with the coordination with appropriate individuals to facilitate arrangements for site and facility selection, gift exchanges, appropriate menu selections, meetings, invitations, seating arrangement, etc.Primary invitations coordinator for special events hosted by WARCOM with DV present. (Creating, sending, monitoring, collecting, distributing, etc., on the Air Force Institute of Technology eInvitations system).Prepare and update presentations, protocol briefings/reports, correspondence, and perform special projects such as tent cards, creating timelines, quarterdeck KLE reference sheet, calendar invitations for KLEs, produce and post parking reservations signs etc.Compile a comprehensive DV weekly binder consisting of bios, KLE SOE, and TPs, which diligently maintain weekly.Monitor and update the Protocol SharePoint portal to include the DV tracker when necessary - update as needed and tasked.Flexible work schedule to be able to support early and late evening shifts. Assist with the setup of events on and off base sites (reception, meetings, socials, etc.)Ability to safely drive DVs (Active driver’s license and ability to obtain/maintain Government Driver’s License). Assist in escorting distinguished visitors as directed.Make reservations for equipment and vehicles to support DV events.Prepare and route official gift acceptance dispositions resulting from gifts received at Distinguished Visitors and Key Leader Engagements given to the Commander, Force Master Chief, and Chief of Staff.
Minimum Qualifications
Provide a minimum of 5 years of collective experience within the last 10 years performing the protocol functions described in section 4.3 in support of the U.S. Navy or other DoD agency equivalent.Possess excellent work ethic, verbal, and written communication skills, and be detailed and accurate in performing all administrative and routine functions.Be able to enter data into multiple databases accurately on a Personal Computer (PC) with common/standard business software programs. Be proficient in Microsoft SharePoint, and Microsoft Office applications to include Word, Outlook, Excel, and PowerPoint.Able to work in an environment that is fast paced, completing multiple tasks, and meeting stringent timelines.Possess a SECRET Security ClearancePossess a valid state driver’s license.Maintain a clean workspace.
