We are seeking a proactive Office Operations Manager to provide comprehensive administrative and infrastructure support for our headquarters and other locations as needed. The ideal candidate will possess strong communication skills, the ability to adapt to changing priorities, and a solid understanding of our company policies and office procedures.KEY RESPONSIBILITIES:OFFICE MANAGEMENT:Oversee office infrastructure, including printers, coffee machines, phones, and furniture, ensuring everything runs smoothlyMaintain an organized inventory of office supplies and manage orderingCoordinate office visits for various stakeholders and facilitate their needsDevelop and implement efficient office systems and proceduresEstablish and uphold office policies and operations, effectively communicating these to staffMonitor and manage office budgets, collaborating with stakeholders on facilities-related matters such as expansions or refurbishmentsServe as the primary contact for all office-related inquiries and support special requests as they ariseEnsure compliance with health, safety, and security protocols, maintaining documentation and communications regarding these proceduresKeep the office environment safe, clean, and functional, including posting regulatory notices for staff accessibilityAct as a liaison between employees and external contractors for maintenance issuesManage incoming and outgoing shipments and deliveriesADMINISTRATIVE SUPPORT:Provide executive support to C-suite executives and administrative assistance to various departments.Facilitate new employee onboarding and setupAssist in ordering and managing Alto “Swag” and business cardsSupport event planning and coordination for company functions, such as holiday parties, conferences, and team gatheringsUtilize various technical applications, including Google Suite, Microsoft Office, Adobe, DocuSign, Slack, Kisi security system, and conference room reservation systemsOrganize and plan business events, including larger meetings and visits from external stakeholdersManage phone calls, greet visitors, and handle mail and email communications, ensuring information is effectively disseminatedSALARY:
