The Meetings Manager is responsible for managing, planning, and implementing conventions, meetings, and educational activities for client associations. This role requires a motivated individual who can prioritize tasks, work independently, and excel as a team player.FLSA Status:

hr@msp-amc.comKey Responsibilities:Meetings ManagementUnderstand the objectives of each meeting.Prepare timelines and budgets for meetings.Lead client conference committee meetings,Manage hotel contracts.Manage master rooming lists and room blocks.Manage on-site staff duties.Coordinate with hotel staff and vendors.Lead internal team and communicate meeting status.Work on special events as needed.Collaborate with the Marketing Team to prepare promotional materials, brochures, website updates, social media content, and attendee packets.Manage and prepare agenda.Manage and set up the meeting app.Order supplies for meetings as needed.Work with the Sponsorship and Expo Team to ensure that the sponsor's requirements and needs have been metRegistrationWork with the Membership Team to manage the registration process and create reports.Financial ManagementCollaborate with the Senior Vice President of Meetings to prepare meeting budgets.Monitor meeting expenses and consolidate invoices.Prepare and distribute weekly room block and registration reportsOn-Site ManagementLead on-site operations to ensure all functions go as planned.Webinar Management:Plan and execute webinars, including scheduling, speaker coordination, and technology setup.Collaborate with clients to develop webinar content and objectives.Manage live webinar sessions, ensuring smooth execution and troubleshooting any issues.Coordinate post-webinar activities, such as attendee follow-up and content distribution.Other DutiesOther duties as assigned.Qualifications:2-3+ years of experience in meeting planning.Highly motivated and able to prioritize tasks.Strong problem-solving skills and ability to work independently.Excellent team player.Ability to handle multiple projects simultaneously.Association experience and computer literacy with Zoom, Whova, MemberClicks and Cvent is a plus.Travel required 6-7 times a year.Two days of telework permitted per week with approval after an introductory period.A Certified Meeting Professional (CMP) designation is a plus but not required.
