Project Planning/Design/Definition
Gathers requirements/specifications from RFP/RFB/RFQs and analyzes labor/material/time requirements to establish the current conditions for SFOR process.
Conceptualizes and develops future conditions for SFOR through preliminary project plan, scope gaps, schedule, and cost estimates, including reviewing vendor bid packages and recommending selection.
Develops comprehensive project plan for client sign-off and approval.
Develops, maintains, and manages Work Breakdown Structure (WBS) and WBS Dictionary.
Works with the Vice President to ensure project plan conforms with the company’s internal staffing plan.
Manages the design and development of systems drawings by:
Managing the design process using commercial, contractual, program/time awareness and technical expertise.
Implementing design strategies, standards, specifications, and codes of practice.
Supporting, understanding, and advising the client as to the requirements in the development of a system design.
Managing a team of several designers, evaluating individual design deliverables and overall team performance.
Schedule Creation and Management
Analyzes drawings, BIM models using Autodesk REVIT and/or AutoCAD, specifications, and Work Breakdown Structure (WBS) to develop baseline schedule. Uses Microsoft Project and Primavera P6.
Identifies risk management activities through SFOR process and develops mitigation steps through carefully inserted tasks linked intelligently to manage risks.
Integrates inter-discipline schedule requirements and constraints to establish logical work sequences for assigned disciplines or specialties. Works with the project team and stakeholders (as needed) to coordinate work sequences with the total project plan.
Tracks and updates schedules with actual progress and forecasts remaining durations, project milestones, completion dates, and cost to complete.
Routinely analyzes, evaluates, and forecasts the current project status against the baseline schedule, assessing the impacts of design or construction changes to the schedule.
Based on analysis, identifies potential problem areas to determine the criticality of schedule activities. Recommends alternatives for schedule improvement for discussion and/or decision.
Reports the status of schedule to the client, project stakeholders, and company management including Critical Path, Longest Path, Earned Value, Resource Curves, Cost Curves, EAC/ETC reports.
Resource Management
Develops resource management plan to apply limited resources according to the risks in the program developed through SFOR process.
Works directly with the Vice President to develop, distribute, and coordinate internal staffing plans to ensure effective resource management for concurrent projects.
Prepares purchase requisitions and procurement of materials and equipment.
Creates and submits the PO against the price quote to the vendor.
Develops and updates the material buyout schedule.
Performs takeoffs of drawings using Autodesk REVIT and/or AutoCAD to create Bill of Materials (BOM) and procurement log for responsible projects.
Updates the project procurement log, interfacing with Procurement and Accounting Departments as needed.
Performs quantity and manpower resource loading for assigned schedules.
Contract Management
Develops understanding of contract requirements to ensure overall project compliance, including subcontractor compliance. Interfaces internally with Contracts Department as needed.
Identifies scope gaps in early stages of the project through SFOR process.
Incorporates any scope gaps to the contract as change orders and/or distributed across other contractors and sub-contractors.
Manages project change order status for multiple concurrent contracts, including securing pricing from vendors/subcontractors, reviewing and inputting data, and submitting the change order request to the client for approval.
Monitors the subcontract management process by: (a) reviewing contract documents and inquiries; (b) tendering and awarding work or supplying materials; and (c) reviewing and processing invoices.
Engineering & Execution
Identifies risks and mitigation steps through SFOR process.
Creates and updates risk signature log based on current realities of the project.
Works with Superintendent closely for (a) site walks to commence installation of systems, verify progress & ensure completion per specification/drawings; (b) helps identify and communicate potential issues.
Manages the request for information (RFI) process to clarify questions during the bid process as well as during project execution and analyzes RFI responses to determine cost impacts.
Manages the review of shop drawings by receiving, organizing, developing, and distributing drawings, coordinating with various stakeholders and project teams; supports the BIM engineers in the development of the shop drawings.
Manages engineering tasks, for example: (a) Systems/Product Submittals; (b) correspondence and meeting minutes; (c) System Cable, Programming & Acceptance Sheets, Utility Shutdown Requests (USR) & Site Area Request (SAR).
Participates in QA Project Reviews to determine whether projects are compliant or at risk.
Submits weekly reports for responsible projects with status, trends, accomplishments, schedule updates, risks, and upcoming activities to the company’s internal upper management.
Organizes project close-out by preparing warranty package and requirements; collecting warranties and O&M manuals; creating turnover documents and assisting in mobilizing & demobilizing the site and archiving documentation.
Cost Control
Identifies gaps/tasks to exert “opportunity to influence” during early stages of the project to maintain cost and associated risks as the project progresses.
Interfaces with the Procurement, Engineering, and Accounting Departments to manage the budgeting and cost management for current and potential future projects. This includes monitoring actual cost expenditures, preparing job cost accrual journals, and tracking over/under billings.
Performs productivity trend reporting and analytical reviews of cost reporting documentation to determine cost status and forecast.
Reviews and analyzes monthly billing/cash flow.
Monitors internal processes, procedures, and standards for Quality Management (ISO 9001:2015) to ensure project cost control.
Validates the final revenue during project close-out before the final bill is submitted. Interfaces with Accounting Department as needed.
