Executive Assistant supporting our Executive Vice President (EVP) / Partner .
The
Executive Assistant (EA)
will apply their professional knowledge and expertise to support the EVP in all daily, logistical, event coordination, financial, and strategic planning activities. The EA works closely with the EVP to schedule and manage daily calendars, activities and commitments. This individual will ensure agenda planning, communication, reporting, and follow through alongside other priorities. This individual will ensure confidentiality and will be assigned special projects as necessary. The EA will support and be responsible for office management activities.

Qualified Candidates will:
Coordinate and manage scheduling of executive calendars to include scheduling meetings, appointments, speaking engagements, and travelEnsure the utmost confidentiality in all mattersCoordinate with directors/office leaders for reporting activities and general administrative affairsServes as a back-up to administrative staff if neededOrganize and prepare for meetings, including gathering documents and attending to logistics of meetingsAnswer and respond to phone calls, communicate messages and information to executivesCoordinate travel arrangementsCoordinate, schedule meetings to include external eventsMaintain various documents for executivesProvides coordination, monitoring and communication of projects and programs as it pertains to the EVPComplete all reporting activities accurately and on-timeCreate a record keeping system to be used over multi-generational periodDetermine priority of matters for the EVP and handle matters as appropriateResponsible for administrative tasks including printing, mail, email, etc.Prepare, reconcile and submit expense reportsAssist EVP in development of presentations and spreadsheets for internal and external audiencesAssist in coordination and logistics of company and employee eventsAssist other department heads with EVP approval as neededEducation and Experience Requirements:
Bachelor's degree preferred or 4 years of related work experienceA minimum of 3 years of administrative experienceDetail oriented, self-starter with prior experience supporting senior leadership/executive rolesExhibits sound judgment and the ability to prioritize and make decisionsEnergetic and eager to tackle the daily activitiesResourceful with a "can do" attitudeAbility to manage up and serve as the "gate keeper" for the EVPExcellent attention to detailExcellent communications skills, both written and verbal and is comfortable communicating with high-level executivesAbility to manage tasks with good follow-throughSuperior time management skillsExcellent skills utilizing MS Office, with a focus on PowerPoint and Excel
