General Responsibilities: To provide administrative and secretarial support to senior leaders and managers. To serve as the administrative point person to staff and vendors.
Required Qualifications: 1. Degree/Certification from accredited Secretarial program or Associates in Business OR 2. Minimum of five years experience in administrative support role 3. Ability to handle multiple projects and meet deadlines with minimal supervision 4. Advanced skills in Microsoft Office software programs 5. Abilitiy to prioritize work flow and handle multiple demands 6. Familiarity with office equipment and procedures
Physical Effort/Environment: Position requires extensive computer use. Must be able to sit for long periods of time, and at times, lift packages of up to 30 pounds. Occasional travel to pick up or deliver correspondence/packages. Must be familiar with a typewriter, copy machine, fax machine, postage meter, and a multiple incoming line telephone.
Work Schedule Demands: Full time position, typical schedule would be weekdays, normal business hours. Extended schedule required during special projects, events, etc.
Communication Skills: Must possess good oral communication skills, telephone skills, and written skills. Some writing is required including correspondence, interoffice communication.
Confidentiality of Information: Access to administrative files/correspondence, agency financial data, patient medical records, employee personnel/credentialing information. Confidentiality must be maintained.
Significant Job Functions: 1. Performs special projects such as analysis and presentation of data in spreadsheets, graphs, or tables; preparation of PowerPoint presentations; coordination of grant applications. 2. Handles scheduling and coordinates/organizes meetings including mailings, minutes, refreshments, teleconferencing equipment, and conference calls. 3. Answer incoming telephone calls for senior leaders and administrative office. 4. Prepares correspondence, memos, reports, minutes, and forms. 5. Facilitate customer service hotline responses: receive and document calls; send them to respective managers for resolution; document resolution. 6. Performs other general office duties including filing, faxing, copying, mail, banking, and distribution of supplies 7. Arranges purchases and maintenance of medical/office equipment and supplies. 8. Sorts and reviews mail. 9. Assists with purchases and maintenance of medical/office equipment and supplies. 10. Processes timesheets. 11. Assists with facility management. 12. Handles urgent requests and immediate needs in the absence of the senior leaders and managers. 13. Assists with public and staff focused special events.
