Job Summary:

Position is responsible for the smooth, efficient operation of the Medical Office. This position is also responsible for providing clerical/secretarial assistance to the Medical Office. Manages incoming and outgoing correspondence and maintains departmental manuals. Also, assists with clinician scheduling maintaining the filing systems. This role functions as the primary link between the patient and the practice. In addition, serves as liaison between the practice and outside support services.

Duties and Responsibilities:

Provide secretarial support such as typing, filing, faxing, and maintaining office equipment.

Coordinates schedules with professional staff and schedules appointments. Registers patients, verifying insurance coverage and appropriate referrals, answers telephone and directs calls appropriately.

Screens incoming telephone calls, handles calls appropriately and sets up meetings.

Open and route incoming mail; distribute correspondence and other material to department staff.

Maintains departmental tracking systems, PI plan and other cumulative reports as necessary.

Maintain treatment rooms and clinical equipment. Maintain clinical inventory and order supplies as needed.

Collects co-payments, fee for service and other payments as required. Prepares patient's medical records according to provider specifications. Works directly with physician offices to maintain supply of forms for records.

Conducts patient registration and patient billing in applicable systems.

Performs all other related duties as assigned.

Requirements:

Vocational/technical training.

Medical terminology required.

One year job-related experience or equivalent is required.

Strong interpersonal, verbal and written communication skills required.

Knowledge of computers and word processing application required.

Strong Medical Secretary background.

Ability to format, proofread letters and possess good communication skills.
