The Administrative Assistant will oversee the general administrative functions of the office(s) and perform a diverse set of support tasks, to ensure the company and related facilities have the resources needed to operate smoothly and efficiently.
Max Manufacturing is a metal fabrication shop located in Bend, Oregon. We have been providing high quality work from prototyping to high volume production work to our customers since 1973.
Essential Duties & Responsibilities
The essential functions include, but are not limited to the following:
Experience in day-to-day finance/accounting operations (receivable, payable, general ledger)Senior Leadership administrative support (travel, scheduling, document/communication drafting, etc.)Competency with all basic Microsoft Office Applications (Word, Excel, PowerPoint)Ability to work well independently without guidance and in a team environmentQualified candidates must have the ability maintain consistent attention to detail, be able to prioritize and independently manage their time in a fast-paced atmosphere where there are often impromptu requestsCandidates should possess strong written and verbal communication skills; have the ability to exercise tact, discretion and the initiative to efficiently meet the demands of internal & external stakeholdersWe are looking for a team player not afraid to dive into unique projects!Equipment inventory, office supply ordering and facilities coordinationWorking closely with finance and other related teams to assure smoothly operating systems under tight time constraints to secure goods and contract servicesManagement and implementation of efficient administrative processesNew hire coordination and employee recognitionEvent planningRequirements
High school diploma required; Associates degree preferredPrevious experience in an administrative or business-related roleNotary certification (current or willing to acquire within 3 months)Accounting proficiency (accounts receivable & payable)
