We are currently looking for an executive assistant to support and assist the President/Owner of our company. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. Given the dynamic nature of the music products industry, we expect this individual to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. This person will work closely with all levels of staff members, including individuals within and without the music products industry. It is expected that this individual will exhibit professionalism, a positive attitude, and overall be a respectable representation of the company and its President.
This position will touch on aspects of multiple areas of the business such as marketing, human resources, operations, and more. It is expected that this employee will be flexible and have competency in each of these areas.
This is a new position within the company and is currently a part time position with opportunities for full time in the future.
Objectives of this role
Support the President primarily and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficientlyManage communication with employees by liaising with internal and external professionals on various projects and tasksPlan and orchestrate work to ensure that the Leadership Team's priorities are met, organizational goals are achieved, and best practices are upheldResponsibilitiesManage professional and personal scheduling for President, including agendas, mail, email, phone calls, client management, and other company logisticsCoordinate complex scheduling and calendar management, as well as content and flow of informationManage travel logistics and activities, including accommodations, transportation, and meals for leadership team and other staff membersProvide administrative and office support, such as typing, dictation, spreadsheet creation, maintenance of filing system and other projects as assignedMaintain professionalism and strict confidentiality with all materialsOrganize team communications and help plan events, both internal and off-site
Requirements
Required skills and qualifications
Must have high school diploma or equivalent
Must be authorized to work in the United States
Must have clean driving record
Must be fluent in English. Bilingual a plus, but not necessary
Must type 80+ WPM with 80% accuracyFour or more years of experience in an administrative role reporting directly to upper managementExcellent written and verbal communication skillsStrong time-management skills and an ability to organize and coordinate multiple concurrent projectsProficiency with office productivity tools and an aptitude for learning new software and systemsFlexible team player, willing to adapt to changes and unafraid of challengesAbility to maintain confidentiality of information related to the company and its employees
Background in Human Resources strongly preferred
Salary Description
$17-22/hour depending on experience
