Ability to deal with problems involving several concrete variables in standardized situations.Satisfactory work record & criminal/child abuse clearances (Acts 34 and 151).Proficient use of Microsoft Office programs, especially in Excel and Word. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functionsSummaryThe confidential administrative secretary will provide exceptional customer services to internal and external constituents and maintain confidentiality at all times in correspondence to Allentown School District's policies and procedures. The confidential administrative secretary will provide support with all areas of Human Resources, especially, recruitment and selection, on boarding, compliance, and electronic data and file retention.Essential Duties and ResponsibilitiesReads and routes incoming mail. Locates and attaches appropriate file to correspondence to be answered by supervisor.Assists in maintaining accurate records related to the supervisor's progress toward achieving identified goals.Assists with maintaining accurate entries and records in the Human Resources information system and employee files.Receives requests for FMLA leave and Sabbatical leaves from employees; prepares paperwork, forwards necessary documents, and processes completed documents to process such leave requests and processes Sick Bank applications.Receives and processes resignations/off-boarding for Act 93 & AEA employees.Organizes and maintains an efficient file system and files correspondence and other records for the supervisor.Greets scheduled visitors and conducts them to appropriate areas or persons.Conducts research, and compiles and types statistical reports as required by the supervisor.Receives and processes teacher loan forgiveness applications, tuition pre-approval forms and reimbursement requests; copies and files completed documents.Coordinates and attends meetings with union representatives; prepares agendas, reserves and prepares facilities, and records minutes of meetings with supervisor and support/nonprofessional employee union representatives.Maintains accurate documentation in accordance with support/nonprofessional bargaining agreement requirements.Prepares outgoing mail and correspondence, including e-mail and faxes.Prepares items for the personnel section of the Board's monthly agenda for the Board's approval.Performs such other tasks and assumes such other responsibilities as assigned or delegated by the supervisor.
