Executive Assistant, Investment Funds

This individual will serve as an
Executive Assistant
on our Investment Funds team. The primary responsibility is to organize executives' communications, ensuring easy access to crucial information without the need to sift through low-priority items. The role involves screening all visitors, determining their level of support needs, and providing polite and professional service. Key responsibilities include managing the executives' daily calendar, scheduling meetings, confirming appointments, writing itineraries, and arranging transportation and travel as applicable. Additionally, the role entails training other administrative staff on company policies and best practices.
What you have already achieved: (Requirements)
2+ years experience in supporting an executive with administrative tasks, ideally within the Financial Services industryAbility to successfully navigate multiple priorities within a dynamic environmentPositive attitude and ability to work at a fast paceProven ability to interact effectively with sophisticated clients, colleagues and senior leadershipExcellent time and priority management skillsWhat you are great at: (Responsibilities)
Assist Events Planner with Capital Events (i.e. Dinners, Inner Circle Retreats).Immediately update CRM/supporting technology as new data becomes available (Zoho, Flow of Capital, Investor Status, Investor Files, Inner Circle, Capital Raised, Points Leaderboard).Answer all incoming Capital calls; if voicemail respond by end of the business day.Coordinate and execute sending of all investor/partner correspondence and all holiday/milestone gifts.Coordinate conference and other special event follow up (cards written/signed by team, contact marketing materials, etc.).Assist with Process Improvement initiatives.Streamline internal communications.Keep meetings on track and record notes, to-dos, and action items.Coordinate travel schedules.Manage executive calendars, schedule meetings, coordinate meeting technologies.Anticipate the needs of the Executives and be proactive in providing support.What you're motivated by:
