The primary responsibility of this position is to provide administrative and clerical support to the Human Resource Department. Job requires the ability to manage multiple priorities simultaneously and change direction at a moment's notice. This position requires a high level of discretion and confidentiality.
ESSENTIAL FUNCTIONS:
RECRUITMENT AND HIRING:
Identify local and national career/job fairs for Young Brothers to attendRegister, attend and coordinate manager attendance to career/job fairs as neededPartner with Marketing and Communications department to create collateral aligned with Young Brothers brandingStay up to date with market trends for recruitment and hiring.Coordinates appointments for pre-employment drug testing with clinics or on-site for candidates' post-offer.Coordinates Fit for Duty (FFD) testingMaintain a good filing and record keeping system in compliance with the law and United States Coast Guard regulations.Notify appropriate staff of results. Handle positive test results per DOT and USCG regulations.Process and track monthly drug screening invoices and reconcile any discrepancies.Schedule and organize all aspects of New Hire OrientationCreate New Hire Employee Packets and New Hire files for onboardingPartners with HR Business Partner, Benefits and Union to schedule onboarding at Young Brothers Administration offices.Coordinates travel for neighbor island employees for onboarding as needed.Assure all New Hire Paperwork is completed and filed in accordance to company standardKeep employee and boat list up to date with AMS.Track Medication Review FormsTrack New hire verification for employment background checkCoordinate Mandatory Referrals with EAPBENEFITS AND ENGAGEMENT ADMINISTRATION :
Refer Employees to TAM Leave Management system for electronic FMLA processRun weekly LOA reports and communicate Leave statuses to Managers.Assists Payroll and Benefits Specialist with dependent certification follow ups with employeesCoordinate TDI filings with carrierPartners with Payroll and Benefits Specialist to coordinate employee health screenings, corporate fitness program, flu immunizations, blood drive and annual wellness fair.Coordinate and plan Employee eventsEmployee recognition, Annual Service Awards, Holiday parties, retirements, various recognized employee appreciation days, etc.Administer Scholarship Program in conjunction with Saltchuk Resources Inc and Saltchuk Marine.Coordinate Referrals to EAP ProgramCoordinate Blood DriveCoordinate EAP Events/Educational ClassesCoordinate company gift for new family additions or bereavementHR ADMINISTRATION AND GENERAL OFFICE SUPPORT:
Provide general support to HR Business Partners as needed.Respond to employee questions about human resources policies and procedures and escalate as needed.Maintain employee files for all salaried, hourly and BU personnel and other miscellaneous departmental files and records. Responsible for Archiving records per HR Retention Policy.Maintain company organization chartResponsible for various HRIS Employee Masterfile Updates in ADP and other HR systems.Responsible for running monthly demographics report and additional ADP reports as requested.Assist with various employee communications/mailings.Refer requests for verification of employment to the Work Number.Respond to requests for Unemployment verification from third party vendor.Performs special duties and other projects as assigned or requested.KNOWLEDGE SKILLS AND ABILITIES:
Demonstrate a high level of discretion and sensitivity as this role requires daily and continuous handling of confidential employee information.Self-starter with a collaborative attitude and strong time management skills.Ability to organize workload and prioritize projects in a constantly changing environment.Ability to meet deadlines and handle stressful situations gracefully.Ability to work independently.Excellent written and verbal communication skills.Strong analytical skills.Experience with payroll software and HRIS (ADP EV5/EV6, ADP eTime, ADP Reporting and SAP).Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint).Adherence to Federal, State and Local payroll tax laws.Knowledge of employment and labor law and applicable regulatory compliance (i.e., FLSA, DOL, EEO/AA, FMLA, HFLL, ADA, NLRB, OFCCP).Knowledge of State and Federal benefits laws and programs.Math skills, to a minimum Intermediate level.Problem-solving skills: Attention to detail, understanding instructions, information and/or concepts.Interpersonal skills: Comfortable interacting in-person, over the phone, or virtual video with employees and outside agencies.Ability to develop and maintain strong positive working relationships with providers and employees in resolving questions and concerns.Team player and dedication to be an ambassador of our core values.Ability to travel to neighbor island ports
MINIMUM QUALIFICATIONS:
Bachelor's Degree in Human Resources, Business Administration or related field. 5-7 years of relevant work experience and/or other specialist training can be used in lieu of education requirement. 3-5 years of work experience in Human Resources. SHRM-SCP or CP and Labor Union Experience preferred.
