POSITION SUMMARY: We have an exciting opportunity to join our team as a Emp Health Svc Assistant. In this role, the successful candidate Coordinate and evaluate day-to-day OHS office management and operations. Provide front desk and back office duties as required. Provide administrative/secretarial support to the OHS Medical Director and the OHS clinical staff. Perform diversified functions enabling efficient OHS office operations.

JOB RESPONSIBILITIES:

Performs other related duties as assigned or requested.

Answers telephones in the department and responds to calls and visits from employees/personnel and provides information according to established policies; determines the urgency of the situation and informs the Medical Director and/or the OHS clinical staff when the situation warrants their attention

Schedules appropriate appointments for new/rehired personnel, in conjunction with HR and/or the referring department according to established policies and procedures

Works with OHS personnel to assure efficient employee/staff scheduling and organizing office flow.

Interacts with New/Established employees in a courteous and professional manner.

Interacts with HR personnel, department heads, supervisors and other departmental personnel, as necessary, to provide requested information regarding OHS policies, in a professional and courteous manner.

Maintains employee medical/OHS records, files and computer database information filing of OHS charts and materials.

Deals discretely with confidential employee information contained in charts and other documents.

Data input of OHS services provided into employee records (Annual Health Reassessments, Flu Vaccination status, Fit Testing results, etc.)

Oversees office supplies and orders appropriate materials/supplies as needed .

Processes invoices and submits invoices for review and payment.

Maintains OHS staff schedules, in conjunction with the OHS Medical Director.

Generates OHS related reports as requested/directed by the OHS Medical Director.

Provides guidance and assigns duties, in coordination with the OHS Medical Director and/or OHS clinical staff, to volunteers and/or agency personnel assigned to the department.

Attends staff meetings as required.

MINIMUM QUALIFICATIONS: To qualify you must have a Minimum education required is High School Diploma. Must have previous health care experience preferred. Should be able to multitask efficiently and prioritize accordingly. Must have working knowledge of Microsoft Office/generalized computer skills. Excellent oral communication / organization skills are essential.

Qualified candidates must be able to effectively communicate with all levels of the organization.
