Primary Purpose of PositionThe Executive Assistant provides higher level administrative support & office management to the School of Architecture's Director, 25 full time faculty members, 10 PT Faculty and 400 undergraduate and graduate students.

Minimum Education/Experience

Required Minimum Qualifications:Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience.

University Preferred Qualifications:Graduation from high school and demonstrated knowledge, skills and abilities gained through four years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and two years of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field and one year of progressively responsible administrative/office management experience; or an equivalent combination of training and experience.

Essential Job DutiesMaintains the Director's calendars.Plans and coordinates various events throughout the year.Assists Director with managing personnel records management for staff and faculty.Other Work Responsibilities

Assists the Director with communications with the faculty, staff, and students of the SoAAssists the Director with coordination with College of Arts + Architecture administrative, development, and communications staffManages in person and online meetings, lectures, colloquies, graduation and other events, including preparing documents and logistics for those meetingsTravel planning, logistics, and approvals for the Director and guests of the SoA

Departmental Preferred Experience, Skills, Training/Education

Bachelor's degree.Administrative experience preferably in Higher Education and / or in a creative / design environmentExperience supporting executive leadershipExperience with Microsoft Office Suite and Google Workspace.Experience with managing websites and social media accounts for a department/organization.Experience with University systems and procurement policies.Excellent verbal, written, presentation communication skills.Excellent interpersonal skills, including interfacing with public.Ability to work with a team to prioritize, multitask, and adapt within a fast-paced environment.Strong customer serviceAbility to maintain strict confidentiality and practice discretion.
