About the Role:
The Annual Report and Proxy effort is a highly complex, six-month-long project that plays a pivotal role in communicating the company's value to clients (through the annual report) and maintaining governance through its Board of Trustees (via the proxy). This process involves a wide range of tasks including content development, design, data gathering, extensive review, logistics, budgeting, vendor management, publishing, distribution, and promotion.
The Annual Report and Proxy Project Assistant will work closely with the project lead to ensure smooth execution of the project. Responsibilities include facilitating communication between contributors, keeping tasks on track, resolving issues, improving processes, and performing quality control.
The ideal candidate will have several years of experience in project support, light project management, business communications, and problem-solving. Strong organizational skills, reliability, and initiative are essential for success in this role. The ability to adapt to unfamiliar tasks, propose solutions, and communicate confidently with new contacts while maintaining a high level of professionalism is crucial. Relationship-building skills and solid proficiency in MS Office are also necessary for managing the multiple moving parts of this project.
Key Responsibilities:
- Support day-to-day tasks of the Executive Communications-led Annual Report and Proxy Project.
- Ensure timely and effective communication across teams and vendors.
- Manage and track deadlines, resolving any issues that arise.
- Collaborate with partners inside and outside the organization to maintain project momentum.
- Provide quality control over project materials and processes.
Qualifications:
- Proven experience in project support or project management.
- Exceptional communication, organizational, and problem-solving skills.
- Ability to manage workflows and keep teams aligned with deliverables.
- Strong proficiency in MS Office (Excel, Word, PowerPoint).
- Experience in calendar management and scheduling.
Preferred Skills:
- Experience leading daily stand-up meetings.
- Proofreading and content review skills.
- Familiarity with technical or complex processes.
