Multi-faceted entrepreneur seeks dynamic, organized, and flexible Executive/Personal Assistant to provide administrative, office, property and family related support. 

Primary Responsibilities:

Executive Assistant: 

  • Calendar Management: maintain and manage principal’s calendars, scheduling appointments and meetings. 
  • Inbox Management and Communication: prioritizing and synthesizing information for efficient workflow 
  • Meeting note-taking and thoughtful follow-up message creation
  • Plan events such as business luncheons, company celebrations and client dinners
  • Handle research and document requests for the principal
  • Handle confidential and sensitive information with discretion 

Office Management: 

  • Maintain supply inventory for all needed office supplies 
  • Act as the public face of the company: greeting guests and clients, directing them to correct person or office, directing calls, taking messages and sharing general company information as needed
  • Receive incoming mail and handle all outgoing shipping/mailings 
  • Maintain office space i.e. purchase office furniture, maintain office equipment
  • Be the office expert on conference room equipment /TV and use 
  • Liaison with building management regarding maintenance 
  • Manage vendor relations for the office 

Personal Assistant:

  • Manage projects and maintenance across all properties 
  • Coordinate and plan travel/social events with family
  • Assist in the transportation of the principle
  • Schedule appointments and make reservations as needed 
  • Assist in event planning and organization 

Skills & Abilities:

  • Bachelor’s degree in Business Administration OR 2+ years of experience in an administrative support role. 
  • Strong organizational and time-management skills 
  • Excellent communications (written and verbal) skills with the ability to communicate with a variety of stakeholders
  • Proficiency in Microsoft Office Suite
  • Exercise flexibility and adaptability in an ad hoc environment 
  • Ability to work independently and manage multiple priorities in a fast-paced environment
  • Attention to detail and accuracy 
  • Valid driver’s license & working vehicle necessary 
  • This is a full-time salaried, exempt position, mainly in-office with some transportation and errands as needed. Monday – Friday 8:00 AM – 5:00 PM. This position requires the employee to be available to work outside of standard business hours, to include evenings, weekends, and holidays as needed.
