Executive & Personal Assistant
We are seeking a highly organized and proactive Executive and Personal Assistant to serve as a partner to the C-Suite in managing their professional and personal commitments. The ideal candidate will be adept at multitasking, possess exceptional communication skills, and demonstrate a keen ability to anticipate needs and solve problems efficiently.
Responsibilities
Executive Support:
- Manage and prioritize the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
- Prepare and organize documents, presentations, and reports for meetings.
- Conduct research and compile information for decision-making processes.
- Act as a liaison between the executive and internal/external stakeholders.
- Handle confidential information with discretion and professionalism.
Personal Support:
- Assist with personal errands and appointments, including managing household staff and service providers.
- Coordinate personal travel arrangements, including itineraries and accommodations.
- Plan and organize personal events, such as family gatherings and special occasions.
- Maintain personal and family schedules, ensuring all commitments are met.
Administrative Duties:
- Screen and respond to phone calls, emails, and other correspondence.
- Maintain filing systems and organize documents for easy access.
- Track expenses and assist with budget management.
- Perform general office duties, including ordering supplies and managing office equipment.
Qualifications
- Bachelor’s degree or equivalent experience preferred.
- Minimum 5 years of experience as an executive assistant and personal assistant.
- Exceptional organizational and time-management skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and relevant software.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of discretion and integrity
