Who they are. Established in 1983, our client is a real estate development company specializing in premier upscale projects throughout Arizona. They have developed more than five million square feet of neighborhood, community and specialty centers with emphasis on unique architectural design and quality tenant mix. Through the years, our client has been widely recognized for its professional expertise in creating and managing developments throughout the valley.
About the position. The Office Administrator's responsibilities will include but are not limited to:
- Provide direct administrative support to company executives to include creating files, preparing letters, maintaining calendars, booking travel, etc.
- Assist with all leasing and marketing, to include proposals, leases, amendments, assignments, site plan exhibits, etc.
- Prepare commissions for new leases and renewals.
- Maintain broker files – all contracts, leases, purchase agreements, etc.,
- Maintain corporate entities, filing of new entities, filing of annual report with the AZ Corporation Commission, and maintain organizational charts for all projects.
- Create and maintain new and existing Tenant files
- Create and maintain move-ins and rent rolls.
- Gross sales reporting compliance from required tenants.
- Prepare estoppels when required.
- Process monthly owner reports when completed.
- Maintain tenant lease expiration spreadsheets for tenant renewals.
What you need. To be a hero in this organization, the Office Administrator will have:
- Proven experience as an Executive Assistant or in a similar administrative role.
- Familiarity with commercial real estate or property management is highly desirable.
- Exceptional organizational and time-management skills, with the ability to prioritize and multitask.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office software.
- Attention to detail and the ability to work independently.
- High level of discretion and professionalism in handling confidential information.
