Job Summary
The Knowledge Management Specialist will play a key role in supporting the Firm's knowledge management (KM) initiatives by working closely with and supporting the Practice Innovation and Knowledge Attorneys, the Practice Management department, and other stakeholders in the implementation and maintenance of KM strategies, processes, and technologies. The Specialist will assist with the collection, categorization, organization and maintenance of legal documents, templates, and best practices to ensure the efficient use of knowledge resources across the Firm.
Job Responsibilities
• Collaborate with Practice Innovation and Knowledge Attorneys and the Practice Management department to advance the Firm's knowledge and experience management objectives.
• Assist in the development, implementation, and management of taxonomies, categorization standards, and processes for organizing knowledge resources.
• Collect, categorize, organize, and maintain templates, "best of" examples, and other knowledge materials and information in centralized repositories.
• Track and categorize new KM submissions and ensure the accuracy and consistency of information with established practices.
• Monitor the lifecycle of KM content and ensure outdated or obsolete materials are archived or updated as needed.
• Stay on top of taxonomies used across other areas of the Firm to ensure the accuracy and consistency of KM categorizations with other resources.
• In collaboration with the Practice Innovation department, support cross-departmental experience management efforts, including the classification of matters.
• Support the deployment and adoption of KM tools and technologies across legal departments and practice groups in partnership with practice innovation team members including providing training and assistance to attorneys and practice support professionals.
• Collaborate with IT and other departments to troubleshoot and resolve issues related to KM systems and tools.
• Collaborate with the Compliance department to ensure that KM systems and tools are maintained in compliance with evolving, client-driven Firm requirements.
• Collaborate with the Research Services department to identify opportunities to provide and leverage external content alongside internal content in response to KM queries.
• Capture and analyze usage data and feedback regarding assigned KM systems, platforms, and software for reporting and, in collaboration with the Practice Innovation and Knowledge Attorneys, evaluate and recommend enhancements that will deliver further value to the Firm's attorneys, clients, and other stakeholders.
• Collaborate with the Innovation Analytics team to test and implement enhancements to Firm KM systems and tools.
• Assist in the design of compelling success and engagement content to promote and grow usage of the Firm's KM systems and tools.
• Provide support for KM related projects and initiatives including research.
• Stay updated on legal industry trends and best practices related to knowledge management and make recommendations to continuously improve processes.
Qualifications
Requirements:
Knowledge, Skills and Abilities
• Understanding of knowledge management principles and practices, including taxonomies (preferably, as applicable to the legal industry).
• Comfortable with making presentations to small and/or large groups in an effective manner.
• Advanced knowledge of Microsoft Office Suite and capable of producing quality, compelling communications in various forms, including memos, spreadsheets, and slides.
• Excellent project management skills; experience with project management tools such as Trello and Smartsheet a plus.
• Ability to establish credibility with the Firm's lawyers and clients as a valuable resource and internal consultant.
• Ability to work effectively, both independently and with others, in a cooperative, enthusiastic, and friendly manner to accomplish position functions and participate in team efforts.
• Strong business analysis skills, the demonstrated ability to exceed client expectations, and strategic thinking acumen; willing to ask questions where appropriate and guide others when required.
• Superior communication skills, both orally and in writing, with lawyers and other professionals across the firm, clients, and service providers, including the ability to clearly articulate technical concepts using non-technical language to varying levels and personas within and outside the Firm.
• Strong organizational and time management skills, priority setting, and problem solving, especially when responding to unanticipated business requirements.
• Demonstrated ability to organize and prioritize work to meet deadlines in a fast-paced environment.
• Ability to provide quality client service to both internal and external contacts. Requires sound judgment with respect to confidential and sensitive information.
• Ability to quickly learn and utilize new software programs and tools.
Education
The position requires a Bachelor's degree, preferably in library science, information management, business administration, communications, or related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job, preferably in a law firm, corporate legal department, or other legal services provider environment.
Experience
The position requires a minimum of three (3) years of increasingly responsible, directly related experience during which knowledge, skills, and abilities applicable to the position were demonstrated, preferably in a law firm or other professional services organization.
