Key ResponsibilitiesAdministrative SupportManage the President’s calendar, including scheduling meetings, appointments, and travel arrangements.Prepare and edit correspondence, reports, and presentations for the President.Handle incoming communications, including emails and phone calls, and determine their priority and appropriate response.Maintain confidentiality of sensitive information and ensure security of all communications and documents.Meeting CoordinationOrganize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.Assist in the preparation of materials and presentations for board meetings, client meetings, and other significant events.Ensure that the President is well-prepared for all meetings and engagements.Project ManagementAssist the President with the planning and execution of special projects and initiatives.Coordinate cross-departmental activities to ensure projects are completed on time and within scope.Monitor project progress and provide updates to the President.Client and Stakeholder RelationsServe as a point of contact for clients, partners, and stakeholders, ensuring prompt and professional communication.Assist in managing relationships with key clients and partners, including scheduling meetings and handling inquiries.Handle logistics for client visits and events, ensuring a positive experience.Office ManagementOversee the daily operations of the executive office, ensuring a smooth and efficient workflow.Manage office supplies and equipment, ensuring they are well-stocked and functional.Coordinate with IT and other departments to resolve any office-related issues.Event PlanningPlan and organize corporate events, such as conferences, meetings, and team-building activities.Coordinate logistics, including venue selection, catering, transportation, and accommodation.Ensure events are executed flawlessly and within budget.Required Experience:A minimum of two years or more of experience working in an Executive Assistant role in a professional business office.Experience must include providing Administrative Support, Meeting Coordination, Office Management and Event PlanningHighly professional verbal and written communication skills are essentialGENESYS Consulting Services, Inc. is proud to be an equal-opportunity employer.
