Random House Children's Books seeks an Administrative Assistant to join their team reporting to the President and Publisher. This position offers excellent insight into the processes and operations of the children's division, as well as big-picture insights into the publishing industry. The role of Administrative Assistant is ideal for someone who is extremely organized, process-oriented and excels in communicating and working in a fast-paced environment with a variety of colleagues across all departments including Marketing, Sales, Editorial, Design, Managing Editorial, Production and Publicity.

This is a hybrid position with in-office responsibilities, we will consider candidates who can work from a commutable distance to our offices at 1745 Broadway, which includes the tri-state area (NJ, CT, & PA).
Responsibilities:
Provides administrative support in the day-to-day operations of the Publisher's office: heavy calendar management, coordinating department and divisional scheduling, maintaining correspondence, handling monthly expense reports, executing book mailings, etc.Coordinates agendas and provides materials for regular meetings led by the President & Publisher.Arranges domestic and international travel; creates detailed travel itineraries including coordinating meetings and researching hotels/restaurants.Oversees and coordinates executive's activities, events and meetings with various non-profit organizations; orders catering, sets-up venue and plans presentation.Fulfills requests for internal and external book donations, gets budget approval, coordinates title selection and corresponds with external parties to organize shipments from warehouse.Handles ad-hoc projects for the publisher's office as needed.Plans and manages execution of special events, both internally and externally, such as RHCB company holiday party, divisional team lunches, etc.Requirements:
A minimum of 5 years of administrative experience in a fast-paced high-volume settingAbility to work well under pressure and handle multiple responsibilities in a deadline driven environmentAbility to prioritize, multi-task, and demonstrate excellent time management skillsMaintain etiquette on the phone, over email and via other written correspondenceExceptional communication & writing skills are essential: both verbal & writtenSelf-starter with impeccable attention to detail, an independent approach to workAbility to handle confidential and sensitive information with discretionDemonstrates a creative, innovative and resourceful approach to problem-solvingStrong computer skills: proficiency with Microsoft Word, Excel, PowerPoint, Outlook and virtual call software such as Zoom, Teams and Webex are requiredAbility to work in NY office Tuesdays, Wednesdays, and Thursdays
The salary range for this position is $65,000 - $70,000. All positions are currently eligible for annual profit award or bonus, subject to company results.
