The Opportunity
We are seeking a Facility Management Administrative Coordinator to join our Firm. This position provides coordination and administrative assistance to the Facility Management department. You will assist with high-level, complex tasks and projects, while collaborating with other Firm departments and team members. This position will be based in our New York office and has an in-office working schedule of 9:30 a.m. - 5:30 p.m., Monday - Friday.
Answers and responds to any issues or requests received from the Facility Management team.Aids with vendor invoice processing; reviewing all incoming invoices and preparing them for approval.Manages front desk and dispatching operation; arranging for Facility Management Staff to act on requests that come through the dispatching operation.Performs daily checks of office space to ensure facilities requests are completed in a timely manner.Ensures that materials and supplies are appropriately stocked and ordered to meet the needs of the department and Firm.Coordinates onboarding new hires, events, and department-wide meetings.Develops, implements, and continuously updates, training programs for staff.Coordinates meetings and training requests, including but not limited to audio-visual and catering services with the Conference Services & Events department.Anticipates needs by proactively identifying potential issues and conflicts and takes the initiative to offer solutions and preempt needs.Performs assignments that are varied and complex in nature, often while under time critical deadlines.Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.Performs frequent physical exertion including: standing, walking, bending over, twisting, reaching above shoulder level, pushing, pulling, repetitive use of both hands, lifting or carrying up to 50 lbs. frequently and over 100 lbs. on occasion.Manages Firm resources responsibly.Complies with and understands Firm operation, policies and procedures.Performs other related duties as assigned.
Qualifications
Demonstrates high proficiency with relevant Firm computer software programs e.g., Word, Outlook, Excel (includes but not limited to PivotTables, Filters, Conditional Formatting), PowerPoint, Computer Aided Facility Management (CAFM) system, with the ability to learn new software and operating systems.Flexibility and willingness to perform a wide range of tasks extending beyond routine expectations.Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems.Demonstrates effective interpersonal and communication skills, both verbally and in writing.Demonstrates close attention to detail.Ability to handle multiple projects and shifting priorities.Ability to handle sensitive matters and maintain confidentiality.Ability to organize and prioritize work.Ability to work well in a demanding and fast-paced environment.Ability to work well independently as well as effectively within a team.Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
Education and Experience
High School diploma or equivalent.Minimum of five years of related experience in an office environment.

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
