The Executive Assistant will provide high-level administrative support to the CEO and senior executives. This role requires someone with good organizational skills, the ability to prioritize tasks, and a proactive approach to managing the daily operations of executive functions. The Executive Assistant will handle confidential information with discretion, coordinate schedules, and facilitate communication between executives and internal/external stakeholders.
Key Responsibilities:
Calendar Management:
Organize and manage the executive's daily schedule, including meetings, travel arrangements, and events.Communication Liaison:
Serve as the primary point of contact between the executive and internal/external stakeholders. Handle correspondence, including email management, phone calls, and letters.Meeting Coordination:
Schedule and coordinate meetings, including preparing agendas, taking meeting minutes, and following up on action items.Travel Management:
Arrange travel itineraries, accommodations, and logistics for both domestic and international trips.Document Preparation:
Draft, review, and edit reports, presentations, and other documents on behalf of the executive.Project Management:
Assist in the management of key company projects, track deadlines, and ensure timely completion of deliverables.Event Coordination:
Plan and coordinate company events, meetings, and executive off-site activities.Expense Reporting:
Prepare and submit expense reports for the executive and ensure proper documentation and reimbursement.Confidentiality:
Maintain confidentiality in all communications and sensitive information.Ad Hoc Tasks:
Provide general administrative support and handle special projects as needed.Qualifications:Experience:
No prior experience requiredEducation:
Bachelor's degree in Business Administration or a related field preferred.Skills:Exceptional organizational and time management skills.Strong verbal and written communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other project management tools.Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.High level of professionalism and discretion in handling confidential information.
