Summary The Smithsonian Institution is the world’s largest museum, education, and research complex, with 21 museums and the National Zoo. This position is in the National Museum of African American History and Culture (NMAAHC). The National Museum of African American History and Culture is a national museum for the study and exhibition of African American history and culture. More than one selection may be made from this announcement. Responsibilities The Special Events Coordinator is responsible for coordinating special National Museum of African American History and Culture (NMAAHC) events. In this position, you will: organize small-, medium-, and large-sized special events for NMAAHC in Washington DC and around the country. Develop format of each event including date and site, performers, timing, program and member sales and recognition and promotional activities. Suggest, plan and coordinate work to be accomplished, such as menus, décor, music and other entertainment or cultural presentations, seating arrangements, transportation and scenarios for events. Prepare budget for specific events. work independently on events that frequently demand involvement with groups other than the NMAAHC and SI such as corporate members, exhibition sponsors and high dollar Museum supporters. work independently on events that frequently demand involvement with groups outside the Museum and SI, such as White House, the Department of State, the Supreme Court, government agencies and private foundations. compose copy for invitation, programs and other related printed materials, secures necessary approvals and coordinates printing. Draft event memoranda outlining event arrangements. establish and maintain excellent working relationships with business, public and government relations, special events and planning communities to encourage support for the Museum. Assist with scheduling tours of VIPS. Position requires weekend, evening, holiday and extended-hour days on a regular basis. Requires ability to stand for long periods of time. Qualifications Basic Qualification: Experience that equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. In addition to the basic qualification requirement above: GS-09: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service. For this position, specialized experience is defined as demonstrated experience coordinating special events (e.g., lunches, dinners, ceremonies, sponsored parties, etc.) for a museum, educational or cultural institution; arranging for catering and other vendor services; composing copy for invitation and other related printed materials; and liaising with organizations and vendors. GS-11: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-9 level in the Federal Service. For this position, specialized experience is defined as demonstrated experience coordinating or managing special events (e.g., lunches, dinners, ceremonies, sponsored parties, etc.) for 100 to 1000 for a museum, educational or cultural institution; applying procurement methods to secure goods and services; setting up special events guidelines, procedures and/or protocols; and liaising with outside organizations and vendors. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week. Or Education: Grade 9: Two full years of progressively higher level graduate education leading to a master’s or equivalent degree related to this position may be substituted to meet the experience requirements. Grade 11: Three full years of progressively higher level graduate education leading to a Ph.D. or equivalent doctoral degree related to this position may be substituted to meet the experience requirements.
