Position Description

Performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

•Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.

•Assists district personnel with annual inventory of supplies, stockpiles and minor equipment.

•Assists in preparing monthly and final maintenance contract estimates.

•Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on adjustments needed.

•Coordinates with District Warehouse personnel on surplus property sales of miscellaneous items.

•Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.

•Maintains equipment service records.

•Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities.

•Maintains radio contact with field units; responds to assists with emergency situations as required.

•Monitors and assists with data entry for maintenance contract record keeping.

•Monitors the use of equipment and transfers.

•Prepares and distributes correspondence.

•Prepares and distributes correspondence.

•Processes change orders, supplemental agreements, and extra work orders.

•Receives, sorts, opens, evaluates content and distributes mail.

•Reviews and processes records of completed maintenance projects.

•Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.

•Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.

•Processes receipts and invoices for payment.

•Performs other job responsibilities as assigned.

Minimum Qualifications:

Education : High School Grad or Equivalent in general education.

Experience:

None

Licenses and Certifications : Valid driver's license. This position requires driving a state vehicle.

Physical Requirements and Working Conditions:

•Sedentary work: Lift up to 10 lbs. at a time and occasionally carry files/small tools

•Light work: Lift up to 20 lbs. at a time and frequently lift or carry objects up to 10 lbs.

•Sitting - prolonged periods of time

•Standing-prolonged periods of time

•Repetitive Motion-substantial movements of the wrists, hands, and/or fingers

•Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading

•Work hours can be outside of normal work hours of Monday thru Thursday 7:00 to 5:30, including holidays and weekends.

•Must be able to report for duty during inclement weather and during emergency situations within 30 minutes of notification.
