Executive Assistant

Responsibilities:Provide high-level administrative support to executives, including managing calendars, scheduling appointments, and coordinating travel arrangements.Prepare and edit correspondence, presentations, reports, and other documents as needed.Support leads in coordinating with Sales Enablement and Marketing for content development needs.Manage and prioritize incoming communications, including phone calls, emails, and mail, and handle them professionally and efficiently.Coordinate and organize executive meetings and conferences, including arranging logistics, catering, preparing agendas, taking minutes, and following up on action items.Prepare and process expense reports, ensuring accuracy and timeliness.Partner with PDS market and regional operations to organize content and create presentations for internal leadership meetings, staff events, off-site retreats, and town hall calls.Partner with the PDS Operations Coordinator/Manager and Variable Market Leadership Team to coordinate operational activities, meetings, outreach activities.Maintain confidentiality and handle sensitive information with the utmost professionalism and discretion.Foster strong working relationships with internal and external stakeholders, including clients, partners, and vendors.Anticipate the needs of executives and proactively provide support and solutions to help them achieve their objectives.
Education, experience, and skills:
Bachelor's Degree5+ years of relevant experienceProven experience as an Executive Administrative Assistant or in a similar role, preferably supporting C-level executives.Excellent organizational and time management skills, with the ability to multi-task and prioritize effectively in a fast-paced environment.Strong attention to detail, ensuring accuracy in all tasks and deliverables.Professional written and verbal communication skills.Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook.Exceptional interpersonal skills, with the ability to interact with individuals at all levels internally and externally.Proactive problem solver with the ability to think critically and make sound decisions.High level of discretion and confidentiality.Ability to adapt quickly to changing priorities and work independently with minimal supervision.
