This position serves as the primary point of contact for day-to-day management and operates and does so with broad latitude and independence. Work involves coordinating and disseminating information, developing a filing system, tracking performance data, maintaining appointment calendars, and organizing activities for the unit. The position also involves taking and transcribing minutes from program meetings, collecting and maintaining data, and offering notary services for members of the Quality Improvement Team (QIT). This work requires extensive interaction with staff from all areas of the hospital. Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agencyand#146;s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.Essential Job FunctionsAttends work on a regular basis and may be asked to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.Completes HR forms for hiring, termination, and promotion to maintain the workforce. Provides written warnings to administration and helps with documentation and reminders.Maintains program data and develops routine reports utilizing computer software to assist QIT in quality control and improvement initiatives. Coordinates documentation and visual presentation materials for all QIT, training, MIR, and RCA. Performs secretarial tasks for the Program Director and Nurse Manager, including transcribing minutes, typing correspondence, answering phones, distributing mail, managing office supplies, and copying/faxing documents.Records personnel hours using a computerized format, secures necessary attachments and signatures for timesheets, and submits to HR for accurate hours worked. Available to staff for questions about time or how to accurately read / complete items in CAPPS. Schedules personnel for required training based on the HR Development Training List and tracks attendance to maintain a competent workforce.Provides intermediate-level technical assistance to others on policies, procedures, rules, regulations, standards, or requirements.Answers telephone, refers callers to appropriate staff, takes messages, and answers basic questions.
