Proposal Specialist
Reports To: Senior Proposal Manager
The Proposal Specialist has a minimum of 6 years of experience in the A/E/C industry with a complete understanding of the proposal/presentation process and marketing databases. The individual has an outgoing personality, shares our team-oriented approach, and thrives while handling multiple, diverse tasks. This position requires exceptional organization, communication, and problem-solving skills and is service-oriented, creative, efficient, and proactive. The Proposal Specialist supports the development of proposals, and at times, leads efforts, across the firm's business lines, from research to RFP response through to the presentation. This individual works closely with the Senior Proposal Manager, to create and deliver best-in-class response packages using graphic design, technologies, and systems related to marketing and sales. This position is in-house at our West Palm Beach, FL headquarters.
ESSENTIAL DUTIES AND RESPONSIBILITIES:• Lead or assist in creating proposals, presentations, qualification packages, and award submissions.• Proofread and edit pursuit and marketing materials for grammar, content accuracy, and quality.• Facilitate or assist in kick-off meetings and proposal production activities.• Collaborate to meet proposal deadlines.• Assemble and deliver proposals and related documents.• Lead or assist teams in presentations and interviews, managing the process when requested.• Support business development and client relationship efforts in targeted sectors.• Conduct project interviews for case studies and write-ups.• Manage and maintain the accuracy of marketing database queries and input data.• Develop new boilerplate material, including firm bios, staff resumes, case studies, and project summaries.• Coordinate with an in-house Graphic Designer to enhance the visual appeal of materials.
POSITION REQUIREMENTS:• 6+ year's experience and knowledge of the A/E/C industry. A background in marketing, writing, graphic design, printing, and production are preferred.• Effective computer skills, with proficient use of Adobe Creative Suite, Microsoft Suite (PowerPoint Word, Excel, Teams, SharePoint etc.), Cosential/Unanet and/or CRM Databases, and remote meeting software such as Zoom or Teams.• Effective business writing, organizational and communication skills.• Ability to prioritize schedule and tasks, work productively and independently while under tight deadlines.• Ability to work across diverse team's locations, expertise, and disciplines.• Problem solving abilities, including conflict resolution under time sensitive production expectations.

Director of Marketing, Senior Proposal Manager, Preconstruction and Estimating Teams, Executive Vice President of Commercial, President of Commercial, President of Residential, Vice President of Preconstruction, Project Executives, Project Managers, Leadership Team, outside Creative and Graphics Team.
PHYSICAL DEMANDS:• Ability to sit with back at a 90-degree angle for up to 8 hours per day.• Ability to look at a computer for up to 8 hours per day.• Full dexterity of wrists and fingers required with repetitive motions.• Ability to hear and speak on a standard telephone.• Ability to occasionally lift, push, pull or carry up to 50 pounds.• Ability to regularly lift, push, pull or carry up to 15 pounds.• Ability to occasionally lift files, open filing cabinets by bending at the waist or standing on a stool as necessary.
