Job Title: Executive Assistant
Reports To: President of Development
To furnish administrative support to assist the President of Development in his daily duties, thereby providing time to focus on business & personal opportunities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Coordinate & maintain President of Development’s schedule/appointments (Personal & Business).
- Manage pertinent phone calls for President of Development’s, summarize, & arrange by order of importance.
- Read & summarize emails daily, respond when necessary.
- Read & summarize mail daily, respond when necessary.
- Prepare correspondence/spreadsheets on a timely basis.
- Keep accurate files for efficiency.
- Understand & use of software programs needed to perform daily duties.
- Assist with Timberscan invoice approvals.
- Review, proofread, and edit documents for President of Development’s signature, compose letters and memoranda.
- Organize & prepare agenda for HB Monthly Leadership Meetings.
- Organize HB Employee Annual Meeting/Party.
- Coordinate domestic & international travel/vacation arrangements (Personal & Business).
- Assist with scanning, copying, and printing as needed.
- Assist with preparation and delivery of written correspondence.
- Assist with payroll approvals.
- Schedule medical appointments as necessary.
- File medical claims as necessary.
- Run errands (Personal & Business) as necessary.
- Coordinate installations & repairs at President of Development’s personal residences & hunt lease.
- Coordinate with Executives/Human Resources to send cards, flowers, gifts, etc.
- Make informed & cost-effective suggestions on how to resolve problems/issues.
- Keep President of Development informed of office & field issues.
- Assist in managing Corporate & Personal Investments.
- Assist Marketing, where needed.
- Assist Office Manager, where needed.
- Assist Vice Presidents, CFO & Executive Assistants, when necessary.
- Ability to make executive decisions & take responsibility on those decisions, when needed.
- Always maintain confidentiality in all dealings with the President of Development, President of Development’s family members and Executives of the company.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- Bachelor’s Degree, 5 years of related experience or an equivalent combination required.
- 6+ years of relevant experience preferred.
- Proficient knowledge of Microsoft Office required.
- Reliable transportation and a valid, Florida Driver License required
PHYSICAL DEMANDS:
- Ability to sit with back at a 90-degree angle for up to 8 hours per day.
- Ability to look at a computer for up to 8 hours per day.
- Full dexterity of wrists and fingers required with repetitive motions.
- Ability to hear and speak on a standard telephone.
- Ability to occasionally lift, push, pull or carry up to 30 pounds.
- Ability to regularly lift, push, pull or carry up to 15 pounds.
- Ability to occasionally lift files, open filing cabinets by bending at the waist or standing on a stool as necessary.
