Job Overview:

The Wedding & Events Coordinator plays a vital role in supporting the operations of our sales and events business. This position is responsible for managing all aspects of incoming leads, including qualifying inquiries, contracting, and planning details through event execution and final billing. The Coordinator will also assist the Events team by organizing and entering details for group bookings, in partnership with the Events Manager. Key responsibilities include preparing client proposals and contracts, arranging amenities, inputting Banquet Event Orders (BEOs) and Group Resumes, and pulling a variety of reports. This role requires close collaboration with operational departments to ensure all guest expectations are met and exceeded. Key Responsibilities:Lead Generation & Sales Support:

Respond to inquiries and generate leads for wedding and event business. Conduct site inspections for potential clients and represent the resort at wedding trade shows to promote services and secure bookings.Event Planning & Coordination:

Assist in the detailed planning, coordination, and execution of events, with a particular focus on weddings. Work closely with clients to plan all aspects of their wedding, including tastings, rehearsal dinners, ceremonies, receptions, and dinners.Marketing & Materials Management:

Update and maintain wedding marketing materials, including the photo database, website content, and other promotional assets to ensure accurate and compelling representation of our offerings.Organizational Management:

Oversee multiple events simultaneously, demonstrating strong organizational and communication skills to ensure that every event is meticulously planned and executed. Communicate event details effectively to the operational teams, including food & beverage, front desk, banquets, and other relevant departments.Guest Experience & Engagement:

Prioritize exceptional guest experiences by being responsive to their needs and feedback. Adapt to changes quickly and look for opportunities to exceed guest expectations, creating memorable moments for attendees of all ages.Event Day Presence:

Attend events when needed to support the operations team, ensuring smooth execution and addressing any issues that arise during the event.Professional Conduct & Performance:

Provide additional support to the Sales & Events team as required, contributing to the overall success of the resort's events and initiatives. Perform other duties as assigned.Requirements:

Weekend work is a requirement for this position.Must be available to work nights and holidays as needed.Qualifications:

Bachelor's degree in business administration, hospitality, marketing, or related field required.Minimum of 1-year experience in event planning required; prior experience in hotel or wedding industry preferred.Proficiency in Microsoft Office required; proficiency in Opera Sales & Event Management (OSEM), Social Tables, and Canva preferred.Strong written and verbal communication skills; strong interpersonal skills.Ability to work both independently as a part of a team.Ability to problem-solve and take the initiative to overcome challenge and seize opportunities.Must exhibit meticulous organizational skills with the ability to manage multiple projects and deadlines efficiently.Must be open to change and quick to adapt to varying needs and situations, maintaining a positive attitude in a dynamic environment.Must show a genuine passion for creating extraordinary experiences for attendees and a commitment to excellence in event execution.Why Alyeska?
