Job: Administrative AssistantJob Location: Charlotte, NC 28202Fully On-Site: 5 days in the officeDuration: Contract for 12 Months

Position Summary:This onsite role is responsible for providing diverse and confidential administrative support with a focus on extensive calendar management. Core duties include assisting management with high-level administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting pertinent information, and managing incoming mail. The role also involves organizing in-person meetings and off-sites, and handling multiple projects and priorities in a responsive and personable manner.

Key Responsibilities:

Provide dedicated executive administrative support to the Global Technology Third Party and Change Executive.Manage executive schedules, including meetings, telepresence, and travel; arrange and coordinate staff events.Coordinate and respond to correspondence and requests from outside groups and senior management, ensuring timely and appropriate responses.Draft and type memoranda, correspondence, and maintain accurate records.Prepare and submit expense reimbursements and other related administrative tasks.Essential Functions:

Communicate effectively with executives and line management to collect and share relevant information.Answer executive phone lines, documenting messages accurately and handling calls with discretion.Proactively manage multiple calendars, resolving conflicts professionally.Handle all aspects of travel planning and expenses, optimizing schedules to create efficiencies.Prepare meeting minutes and related documents, using strong written and oral communication skills.Liaise with external groups to coordinate events where the executive holds roles such as corporate chair or director.Support client conversations and sensitive communications with diplomacy and sound judgment.Organize complex and frequently changing travel itineraries with precision.Assist with department administration, supporting various operational tasks.Required Skills and Experience:

Microsoft Office Proficiency: Advanced experience with MS Outlook and other Microsoft Office applications.3+ Years of Executive Assistant Experience: Proven experience as an Executive Assistant or a similar role supporting senior leadership.Independent Working Skills: Capable of working independently, multitasking, and managing time efficiently.Executive Presence and Communication: Strong interpersonal communication skills and the ability to interact with senior executives.Attention to Detail: High level of accuracy, thoroughness, and commitment to quality in all tasks.Adaptability: Ability to work in a deadline-driven environment and adapt to changing priorities.Proactive Attitude: Motivated to take initiative, stay focused, and optimize time efficiently.Desired Skills:
