Job DescriptionSummaryAs the Receptionist, you will be the first point of contact for our client, managing a multi-line telephone system, welcoming visitors, and performing essential administrative duties to support the team's efficiency.
Key ResponsibilitiesPhone & Communication
Answer and direct incoming calls, screen caller purposes, and forward to the appropriate personnel or department.Retrieve and forward voice mail messages, take and relay messages, or transfer calls to voice mail when team members are unavailable.Provide general information about the organization, including address, directions, and other relevant details.
Visitor Management
Greet and announce on-site visitors, determine the purpose of their visit, and monitor visitor access, issuing passes as needed.
Mail & Deliveries
Sort, receive, and route incoming mail and publications; complete end-of-day UPS forms.
Office Administration
Maintain and order office and break room supplies, restock storage and supply rooms.Handle faxes, including sending, receiving, and distributing them to relevant team members.Accept payments for services or products.
Document Preparation
Create and print memos, reports, correspondence, and other necessary documents.Perform clerical duties including filing, photocopying, and document collation.
QualificationsLanguage & Communication SkillsCompetent in reading and interpreting documents such as safety guidelines and procedures.Effective verbal communication, able to present information clearly to clients, affiliates, and team members.Strong written skills for drafting correspondence and reports.Computer SkillsProficiency in Microsoft Word, Excel, and Outlook.Familiarity with UPS World Ship and Mitel Business Telephone System.Other RequirementsExceptional organizational and multitasking abilities.Professional demeanor, reliable, and courteous.Ability to work both independently and collaboratively in a team setting.
