KBP is seeking an Executive Assistant to provide high-level administrative support to five senior multi-unit operations leaders and oversee essential office management functions. This role is vital to ensuring smooth daily operations, managing executive schedules and calendars, coordinating meetings, and serving as the central point of contact for all office-related needs. The ideal candidate is proactive, highly organized, and has strong interpersonal skills, with the ability to handle multiple priorities in a fast-paced environment.
What You'll Do:
Supports the Chief Operating Officer and four executive leaders.Coordinates and manages complex calendars for five senior field leaders, schedules and confirms appointments, meetings, and travel arrangements.Prepares and distributes written communication in the form of agendas, meeting presentations, meeting minutes, reports, and any other necessary documentation to support the senior leadership team's objectives.Supervisory responsibility for the Operations Support Administrator.Coordinates the ordering of field items, including business cards, stationery, shirts, schedule stamps, etc.Oversees daily home office functions, including managing supplies, coordinating with vendors, and ensuring office workspace is clean and organized.Serves as primary liaison for facilities-related issues, including maintenance requests, office repairs, and coordinating with building management.Assists with special projects as needed, collaborating with various departments to meet goals and deadlines.What We're Looking for:
Five+ years of experience in executive administration and/or office management roles, ideally supporting senior executives.Exceptional organizational and time management skills.Expertise in multiple Microsoft Office Suite products (PowerPoint, Word, Excel).Ability to interact and engage with employees at all levels, customers, and vendors.Proactive, innovative, and strong attention to detail.Demonstrated capability of strategic thinking and tactical execution.Problem analysis and problem resolution.Strong verbal and written communication abilities.Ability to work in a fast-paced environment with shifting priorities.Ability to handle confidential information with integrity and discretion.Strong problem-solving skills with a proactive approach to improving processes.
