Job Description

The Administrative Assistant – Athletics Department provides clerical services and secretarial support for the Athletic Department (Baseball, Men’s Basketball, Women’s Basketball, Softball, Volleyball, Men’s and Women’s Golf, Cheerleading, Men’s and Women’s Sport Shooting, Men’s and Women’s Soccer, Men’s and Women’s Track and Field, Men’s and Women’s Cross Country)

This is a full-time position (2,080 hours) with a starting hourly wage of $15.00. Benefits include medical, dental and vision insurance, $50,000 life insurance, long-term disability, paid sick leave, paid vacation, paid discretionary time and participation in IPERS or TIAA retirement plan.

Terms of employment are per bargaining agreement between SCC Board of Trustees and the SCCESA , employment contract and relevant policies and guidelines of the Board of Trustees. Upholds college policies and procedures and supports and participates in college-wide initiatives. Actively promotes a positive image for the college district. Supports SCC’s mission, vision, values and goals.

Essential Duties Summary

Responsibilities

Commitment to the comprehensive community college philosophy.

Follow college policies and procedures.

Keep Director of Athletics, Assistant Director of Athletics, and coaches informed on all relevant matters in areas of responsibility.

Work with Director of Athletics, Registrar’s Office, International student office and others on all eligibility-related requirements for all student athletics (approx. 275 student athletes)

Compile NJCAA transfer tracers and other NJCAA eligibility waivers.

Coordinate official’s contracts and payment for all home athletic events.

Meet officials and visiting teams for home athletic games (Volleyball, Men’s Basketball, and Women’s Basketball) and escort them to their respective locker-rooms).

Work with Business Office, athletic trainers, coaches and student athletes to complete all steps required for insurance payments for injuries to student athletes during practice and/or games.

Support Athletic Department processes through data-entry, mailings, filings, preparation, ordering, and distribution of materials including but not limited to: NJCAA , ICCAC , athletic insurance, recruiting, purchasing, archives, contract/payments for games and officials, travel arrangements, home games/meets/matches/events.

Work with Assistant Director of Athletics/ SID to distribute communication to media personnel regarding athletic events, fundraisers, signings.

Schedule rooms for tournaments/meetings/games in Astra for coaches and Athletic Director.

Add and delete PERC holds on all athletes.

Add CRI to each athlete (identifies which sport the student-athlete participates in)

Knowledge of Refquest (information regarding officials for each sport)

Knowledge of Front Rush (for coaches to send messages to the student-athletes to complete forms for the athletic department)

Supervise, train, oversee all Work-Study students assigned to the athletic department

Collect background forms for Sport Shooting student athletes

Create/complete spreadsheet for the Business Office for Sport Shooting team (for the student athletes to pay their expenses)

Answer telephone, direct calls, return calls, and make calls associated with various assignments respective to the Athletic Department.

Work cooperatively with other staff and general public to assist where needed.

Receive instructions and complete tasks in a timely manner.

Schedule appointments for Director of Athletics, and other athletic department personnel as needed.

Supervise ticket operations for all athletic events.

Attend all meetings scheduled by Director of Athletics, and record minutes.

Other duties as assigned.

Required Qualifications

High School diploma / equivalent required; AA degree or AAS in Office Administration preferred.

Minimum of (2) two years of office administration experience required; experience in higher education setting preferred.

Ability to perform accurate cash transactions and reconciliations as related to athletic gate receipts.

Excellent interpersonal and communication skills (listening, speaking, and writing).

Knowledge of computer software application specifically Microsoft Office programs with competency in Word & Excel; ability to learn and develop working knowledge of SCC’s administrative software (Ellucian).

Keyboarding proficiency and accuracy in proofreading are required.

Ability to work well under pressure and to effectively manage time and responsibilities in spite of regular interruptions.

Must maintain a professional demeanor and appearance and have the temperament to handle varied, changing, and stressful situations.

Ability to work independently, perceive priorities, meet deadlines and process financial transactions with accuracy is required.

Knowledge of academic compliance requirements for student athletes.

Passion for athletics and success of the student athletes.
