Job Description

JOB OBJECTIVE:

Provide comprehensive support for the Community Heritage Division's (CHD) programs, including Main Street, Heritage Tourism, and Certified Local Government. This role involves general administrative assistance, event coordination, program implementation, and project management. The position provides backup support for the office manager to maintain essential administrative functions. Additionally, the position supports the Real Places Conference and other agency events by assisting with planning, communication, and on-site coordination.This position requires collaboration with program staff, government agencies, community organizations, and the public to develop and implement effective programs and provide expert guidance, while working under moderate supervision.Strong organizational skills, attention to detail, and effective communication are essential.

ESSENTIAL DUTIES:

General Administrative Assistance

1.Provide general administrative support for the office, including tasks like answering phones, mail handling, purchasing, contract and facilities management, and travel reimbursement processing.

2.Assist in maintaining office operations, including phone coverage for the office manager during daily breaks and other absences.

3.Help prepare materials for presentations and meetings.

4.Coordinate project activities, analyze program performance, and maintain accurate digital records, including updating contact information, community maps, and agency and heritage travel website content.

5.Communicate effectively with stakeholders (via email, phone calls, etc.)

6.Adhere to an established work schedule with regular attendance.

7.Follow all THC safety guidelines/procedures and ethics requirements.

Texas Treasure Business Award

8.Assist with the intake and processing of award nominations.

9.Ensure the accuracy and up-to-date status of nomination and award recipient records.

10.Provide excellent customer service and answer questions from the public about business awards.

11.Collaborate effectively with other agency staff involved in the awards process.

Event Planning Assistance

12.Provide comprehensive support for the event planner, assisting with planning, communication, strategy, implementation, and administration for the Real Places Conference and other CHD events.

13.Deliver exceptional customer service to conference registrants, speakers, sponsors, exhibitors, and agency staff before, during, and after the events.

14.Provide on-site support for the event planner during the Real Places Conference, including extended hours and problem-solving.

15.Maintain proficient knowledge of conference registration software, systems, and event details to ensure critical functions continue during any short-term absence of the event planner and during peak planning periods.

16.Assist in scheduling and coordinating various meetings, conferences, workshops, and seminars for CHD programs.

NON-ESSENTIAL DUTIES:

17.Perform other duties as assigned.

Qualifications:

QUALIFICATIONS/REQUIREMENTS

Graduation from an accredited college or university and at least one year of relevant experience in event planning and/or program and project management (five+ years of relevant work experience related to essential duties may substitute).Demonstrated success in project management, customer service, written and verbal communication, and record keeping.Proficiency in using spreadsheets, databases, and other information management tools.Possess a valid driver's license, maintain an acceptable driving record, and be able to drive a state vehicle.Willingness and ability to travel up to 5% of the work period.PREFER:

Two years of relevant program support work experience.Expertise in website Content Management Systems (CRM), Asana, SharePoint, Cvent Event Platform, Neon CRM, or the ability to quickly learn new software systems.Demonstrated interest and experience with historic preservation, public history, city planning, or related work in professional and/or volunteer capacities.KNOWLEDGE, SKILLS, AND ABILITIES:

REGISTRATION, CERTIFICATION, OR LICENSURE: Must have or obtain a valid Driver's License and Defensive Driving Course to be able to operate state vehicles.

ENVIRONMENT/PHYSICAL CONDITIONS: Normal office work environment and may have exposure to dust and environmental allergens consistent with normal business activities and human contact. Mostly sedentary in nature but may involve walking, standing, pulling and pushing, kneeling, stooping, and bending, performing tasks requiring fine motor skills and coordination, and safely lifting and carrying items weighing up to 30 pounds. Must be able to work extended periods at a computer, and may require working extended hours and some evenings, weekends, and overnight, as needed.Involves safely operating a state vehicle and, driving for long distances, and traveling by airplane. Position requires regular, in-office presence, but the agency telework policy may permit future approval of up to three days per week of remote work, subject to job and performance requirements.
