The
Advisor & Site Support Role
serves as a key player in driving team initiatives, internal and external correspondence, and maintaining exceptional client relationships. The Firm is looking for someone who is adaptable and can handle changing priorities, comfortable using a variety of technology platforms, who enjoys client service, and is highly organized.Key responsibilities include assisting the advisor with administrative support, scheduling, completion of applications, and collaboration with internal departments. It also involves the day to day compliance operations for the Site.Duties and ResponsibilitiesVisitor Management: direct visitors by utilizing resources strategicallyOversee conference room scheduling electronically, through use of OutlookOversee local facilities issues and escalate if neededAdministrative responsibilities for associates when neededSecurely quality check and manage interoffice processesManage and trouble shoot office IT machines when necessaryManage daily incoming and outgoing mail to ensure compliance standardsAssist with New Associate onboarding and logisticsHandle incoming calls in a friendly and professional mannerSchedule and confirm appointments in a timely mannerAssist with file prep, paper filing and larger mailingsProactively manage internal platforms and systems so FSRs client information is up to date and accurateAccurately complete, submit, and follow up on status of all new business applicationsAct as direct liaison between Financial Advisor and clientsProvide ad hoc support on assigned projects and any escalationsQualificationsExcellent verbal and written communication skillsExceptionally professional and organizedComfortable in a fast-paced environmentAbility to collaborate with others, build and maintain relationshipsAbility to use discretion and maintain client confidentialityClient-first attitudeProficiency in Microsoft OfficeExperience in Salesforce is a plusLife, Accident, and Health License and/or Finra Registrations are a plus
