GENERAL DEFINITION OF WORK:Under direction of the Recreation Services Manager, plan, promote, organize, and implement a variety of events, programs and activities for the community in general or for a specific segment of the community such as special needs populations. Plan and prepare a variety of marketing methods to promote recreation and event programming. Solicit community donations and corporate sponsorships to fund special events.
Examples of Duties
ESSENTIAL JOB FUNCTIONS :Plan, organize and coordinate various events, activities and programs for the community, such as holiday events, concerts, expos, classes, sports/fitness activities and various other special events and programs.
Assess needs and interests of all ages and abilities of the community to determine appropriate activities to offer and evaluate participation levels and overall success of each activity to determine feasibility for continuation.
Serve as department liaison with the City's marketing & communications office to ensure that all media releases, publications and marketing materials are consistent with City branding messages and Mayor's initiatives.
As directed by supervisor, prepare press releases to publicize events. May review script prepared by others to promote their assigned area of responsibility.
Manage the various events on site to ensure successful execution of the event in accordance with City policies and procedures.
Coordinates all aspects of setup, operation, and tear down of special events.
Manage overall implementation of risk management and safety recommendations; ensure all safety practices and facility protocols are followed during programming and events.
Manage social media calendar, monitor trends and community engagement and produce analytics reports.
Elevate Department online presence and engagement by developing digital content and marketing campaigns in collaboration with the City's Marketing and Communications office.
Assists with the creation, posting and maintaining all social media sites, including but not limited to Facebook and Instagram; assists with updates to the department website.
Monitor incoming marketing communication requests and collaborate with requestors to produce high-quality results by specified deadlines.
Prepare, review and edit flyers, brochures, posters and other graphic materials to promote and publicize events, programs and activities. Utilize specialized software as needed to create and design marketing materials.
Recruit sponsors and solicit donations to fund activities; send correspondence and make phone calls to request sponsorship, follow-up on commitments, and track donations received.
Prepare budgets for events and programs, develop schedule of activities, and coordinate appropriate sites, equipment, food, beverages, transportation, entertainment, speakers, setup or other requirements for the event.
Enter into contract with vendors to provide a variety of services necessary for the successful implementation of special event or program.
Coordinate the staffing and resources of various departments to support event and programming activities.
Recruit, organize and supervise volunteers for special events and other functions.
OTHER JOB FUNCTIONS :
1. Will assist with other department activities or City sponsored programs and events not
under direct responsibility.
2. Perform related tasks as required.
Qualifications
KNOWLEDGE, SKILLS AND ABILITIES :Knowledge of the philosophy and objectives of municipal recreation and the methods and techniques of program and event planning.Knowledge of public relations, fund raising, promotions and advertising principles and techniques.Knowledge of marketing plans and strategies and ability to develop and implement them.Knowledge of standards, methods, and practices of design, layout, and composition of printed materials.Knowledge of grammar, spelling, punctuation and sentence structure.Skill in communicating in writing and in person on a one-on-one basis and before groups for the purpose of influencing, motivating and convincing.Skill in using desktop publishing and graphic design software to design brochures, flyers, booklets, etc.Skill in fundraising and/or sponsorship development.Skill in planning, developing and coordinating a variety of programs and events to meet community needs and interest.Ability to work independently and to plan and organize projects.Ability to manage multiple projects, ensuring timely completion of work.
Requirements
EDUCATION AND EXPERIENCE :College degree in marketing, recreation programming, event management, or related field and three years experience in performing marketing and event planning activities; or any combination of education, training, and experience providing the knowledge, skills, and abilities necessary to perform essential job functions.
WORKING CONDITIONS :Majority of work takes place in a clean, pleasant, and comfortable office. Some outside work is required to oversee outdoor activities. Holiday, evening and weekend work is required to conduct and monitor activities. Some traveling is required to attend meetings and conferences. Lifting of up to 40 pounds is required to set up for events.
