Summary
We are seeking a motivated and detail-oriented Proposal Coordinator/Administrator to support the business development lifecycle across multiple opportunities, working as a collaborative team member. This role entails coordinating capture and proposal activities, managing tasks within the proposal process. The ideal candidate will demonstrate a working knowledge of the federal contracting environment and proposal development process.
Duties and Responsibilities
Proposal Coordination/AdministrationCoordinate business development and proposal planning activities, including proposal schedules, gate reviews, and strategy workshops.Provide general administrative support, including meeting coordination, travel arrangements, and filing.Collaborate with cross-functional teams to gather necessary information and materials for proposals.Organize and maintain proposal databases and documentation systems for easy retrieval and tracking.
Market Research & Analysis
Conduct market research to support proposal development, including market analysis, trends, customer preferences, and competitor research.
Proposal Development
Coordinate the proposal development process, develop schedules, templates, outlines, organize status and color review meetingsCoordinate proposal timelines, managing schedules and deadlines to ensure timely submission.Assist in writing responses to Requests for Information (RFIs) and preparing white papers for customers.Draft proposal sections, such as project management plans, past performance, and staffing plans, and contribute to overall content development.Assist in the development and editing of proposal content, ensuring compliance with RFP requirementsProofread and format proposals to ensure clarity, consistency, and professionalism
Pipeline Management
Support the management of the business development pipeline, ensuring data accuracy and timely updates.Research opportunities in CRMs such as Govwin, Sam.Gov, US Spending and other sourcesAssist in organizing and attending industry events, conferences, and customer visits to enhance market insight and networking opportunities.
Required Qualifications
Education
Bachelor's degree in Business, Marketing, Journalism, Communication, or a related field.
Experience
2+ years of experience supporting capture management, marketing, proposal coordination or administrative functionsStrong skills in project coordination, strategic thinking, and analytical problem-solving.Federal government contracting knowledge/experience desired
Technical Proficiency
Proficiency in Microsoft Office Suite, SharePoint, CRM tools such as Govwin, CP2 and other relevant software.Knowledge of AI tools such as ChatGPT desiredExcellent written and verbal communication skills.Strong organizational and time management skills, with the ability to handle multiple tasks in a fast-paced environment.Ability to collaborate effectively within a team and independently when required.
Work Conditions
Ability to travel up to 10% of the time (local).
