Purchasing Assistant (Full-Time)

JOB SUMMARY: The Purchasing Assistant is responsible for generating electronic requisitions and purchase orders and for placing orders in a timely fashion to meet the needs of the Organization. Additional duties include receiving and unpacking deliveries, ensuring item count is accurate by reconciling packing slip with package contents, and reporting discrepancies appropriately while maintaining integrity of department inventory database system. Also responsible for delivering medical supplies for all internal departments and satellite locations.

Schedule: 8 am to 4:30 pm M-F

QUALIFICATIONS AND EDUCATION:

Education:

• High School Diploma or Equivalent.

Qualifications:

• Two years of purchasing experience preferred with the ability to reconcile deliveries and create purchase requisitions and purchase orders.• Must be detail-oriented, possess excellent organizational skills and have the ability to work independently.• Computer skills required, including Microsoft Office, Word and Excel.• Working knowledge of inventory and supply chain management within a medical setting highly preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES:• Assists with ordering of medical supplies for Organization, including all Satellite Facilities.• Assists with preparation and maintenance of:o Internal and Satellite supply requestso Item Master Fileo Par levelso Cycle Countso Physical Inventoryo Shipping/trackingo Purchase order and filing• Maintains integrity of purchasing and inventory database.• Assists in research and preparation of specifications and requests for quotations or prices.• Maintains approved supplier lists.• Maintains accurate data for product expiration dates.• Receives and unpacks packages, reconciles contents and updates accordingly in Inventory data base system.• Delivers supplies throughout the facility as needed.• Prepares order requisitions and Purchase Orders as appropriate.• Provides delivery and status information to purchasers throughout the Organization.• Prepares and arranges for shipment of supplies and equipment.• Assists with ASC (Ambulatory Surgery Center) materials handling as needed.• Provides cross-functional backup support for all functionalities within the Materials Department.• Effectively communicates with external vendors and internal customers, including peers.• Other duties as assigned.

SUPERVISORY RESPONSIBILTIES:No direct reports.

LANGUAGE SKILLS:Ability to communicate effectively with staff, peers, physicians and the public. Ability to speak and understand English fluently.

PHYSICAL DEMANDS:Ability to stand and walk for prolonged periods of time. Ability to lift up to 50 pounds occasionally and 25 pounds frequently. Work within the range of floor to overhead, pushing, pulling and stair climbing.
