is seeking an Administration Coordinator to join our Administration Department in our

Madison facility .

SALARY: Hiring Range for this position is from $49,085 to $59,750 Annually.

Offered Salary will be based on qualifications and internal pay equity. WHEDA provides a competitive salary and WHEDA employees participate in the State of Wisconsin benefit package which includes retirement, health insurance and deferred compensation programs.

POSITION OVERVIEW:

The position of Administration Coordinator is responsible for performing general administrative functions. Performs and assists with all administrative divisional processes and provides administrative support to human resources, Culture, Facilities Maintenance and Learning and Development teams as needed, including record-keeping, file maintenance, payroll, and data entry.

ESSENTIAL DUTIES:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. • Primary point of contact for Administration Division related questions from WHEDA division leaders and individual employees; responds to employee questions and requests for information, forms, etc. • Assists the Learning/ Development/ Culture teams with scheduled training assignment, surveys, rosters, events, and related communications. This may also include set-up, booking external meeting space and associated event planning as needed. • Provides day to day administrative support which includes meeting scheduling, document, and file management (hard copy and/or electronic), letters, mail processing, supply ordering, and administration related contracts. • Performs customer service functions and may assist with WHEDA HR internal email receipt and response, distributing and/or forwarding for action. • Provides administrative assistance to Chief People Officer/ HR Manager as needed. • Oversees employee events and recognition activities to include, but not limited to Partner's in Giving campaign, Annual Employee gift program, Annual employee recognition event and Employee Years of Service. • Assists with departmental reports and data tracking for presentation to WHEDA Board and/or inclusion in quarterly board reports. • Provides primary back-up to Front Desk Reception phones and desk coverage including breaks and lunches. • Assists with payroll processing and may serve as back-up to Payroll as needed. • Performs or assists with other duties as assigned.

QUALIFICATIONS: • Associates Degree in Business Administration or a closely related field

AND

2 or more years of related experience;

OR

an equivalent combination of education and experience • Valid Driver's License Required

KNOWLEDGE AND SKILLS: • HRIS and related technology systems, specifically ADP • General knowledge of Federal, State, and local employment laws • Knowledge of FMLA/ADA principles Intermediary knowledge of Microsoft Suite (Excel, Word, PPT) • Policy and procedure development practices • Strategic planning principles • Program development and implementation principles • Prioritizing work with above average organizational skills • Operating a computer, related software applications and technology that supports our infrastructure • Excellent verbal and written communication sufficient to exchange or convey information and to receive work direction • Ability to act with integrity, professionalism • Analyzing and solving problems • Excellent interpersonal and conflict resolution skills • Knowledge of standard Talent Acquisition functions • Knowledge of standard employee payroll functions • Managing and executing multiple tasks and the ability to function well in a high-paced and at times stressful environment • Developing, implementing, and applying policies and procedures • Maintains confidentiality related to internal/ external customers and any other information obtained in this role

Remote Work Options:

This position has a work schedule that will initially be 100% in-office. After training is complete, it is at the discretion of the direct manager when the employee may begin a hybrid work schedule.
